You'll review technician notes, diagnostic reports, and site conditions, build estimates covering labor, materials, and equipment, and guide customers through approval and scheduling. This is a senior seat with real ownership over the proposal process, working closely with dispatch, service managers, and project managers to keep approved work moving into the field.ResponsibilitiesReview field technician notes, diagnostic reports, photos, and service recommendations to scope proposals accuratelyDevelop accurate estimates covering labor, materials, equipment, and project scope for commercial boiler, heating, and mechanical service workBuild clear, professional proposals aligned with company pricing standardsCommunicate proposals directly to customers and follow up to answer questions and close approvalsTrack proposal status and maintain organized records of pending, approved, and declined workCoordinate with dispatch, supervisors, and project managers to schedule approved jobsConfirm materials, permits, and project details are prepared before work beginsPartner with technicians and service managers to validate recommendations and refine estimating processesConduct site visits as needed to verify scope and conditionsMaintain accurate records in the company's CRM and internal systemsRequired Qualifications7+ years of estimating experience in commercial mechanical, HVAC, boiler, or related building systems service workStrong knowledge of commercial boilers, heating systems, and mechanical service scopesAbility to interpret technical diagnostics, service reports, and field documentationHigh attention to detail and accuracy in pricing and documentationProficiency with estimating tools, CRM platforms, and standard office softwareStrong written and verbal communication skills with a customer-first approachAbility to manage multiple proposals, priorities, and deadlines simultaneouslyPreferredExperience estimating for a service department (repair/retrofit work), not only new installation bidsFamiliarity with NYC-area mechanical codes and market conditionsExperience mentoring or supporting less senior estimatorsCompensation and Benefits$140,000 - $185,000 base salary, commensurate with experience401(k) with company matchHealth, dental, and vision insurancePaid time offLong-term career growth with a growing mechanical and energy services companyThis is a confidential search conducted on behalf of the hiring company.
