Trucent is seeking a detail-oriented, customer-focused Procurement & Inventory Coordinator to support an on-site fluid management program at a key customer facility in Erie, PA. In this role, you will manage chemical inventories, process purchase orders through our ERP system, confirm receipts of materials, and generate invoices to the customer.

This position is ideal for someone with strong organizational skills and experience in purchasing, inventory control, or order processing who enjoys working directly with customers and supporting the day-to-day commercial and administrative aspects of a critical manufacturing support program.

Position Summary

The Procurement & Inventory Coordinator is responsible for the accurate and timely management of all materials and financial transactions related to the on-site chemical and fluid management program. This includes maintaining chemical and consumable inventories, placing and tracking orders through the ERP system, processing receipts, and preparing invoices and supporting documentation for the customer.

The role requires close coordination with Trucent operations, suppliers, and the customer’s on-site team to ensure product availability, accurate records, and prompt, error-free billing.

Key Responsibilities

• Chemical & Materials Inventory Management
  • Maintain accurate inventory of chemicals and related supplies used in the on-site fluid management program.
  • Perform and reconcile regular inventory counts (cycle counts and periodic full counts).
  • Monitor usage trends and minimum/maximum levels to ensure adequate stock and prevent stockouts.
  • Investigate and resolve inventory discrepancies in coordination with operations and accounting.
• Procurement & ERP Transactions
  • Create and process purchase requisitions and purchase orders in Trucent’s ERP system.
  • Coordinate with approved suppliers on product availability, pricing, lead times, and delivery schedules.
  • Track open orders and follow up on late or partial deliveries.
  • Maintain accurate item, vendor, and pricing information in alignment with company policies.
• Receiving & Documentation
  • Verify incoming shipments against purchase orders (quantity, product, lot, documentation).
  • Record material receipts in the ERP system in a timely and accurate manner.
  • Work with suppliers to resolve shipment errors, missing documents, or quality issues.
  • Maintain organized records of packing slips, certificates of analysis, and other receiving documents.
• Customer Invoicing & Billing Support
  • Prepare and generate customer invoices for chemicals, consumables, and related services based on usage, deliveries, and contract terms.
  • Ensure invoice accuracy (pricing, quantities, tax, and required references such as PO numbers or cost centers).
  • Provide supporting documentation (usage reports, delivery records, inventory summaries) as required by the customer.
  • Collaborate with Trucent accounting and the customer’s accounts payable team to resolve billing questions or discrepancies.
• Reporting & Communication
  • Produce regular reports on inventory status, material usage, and purchasing activity as requested by Trucent and the customer.
  • Communicate with on-site customer personnel regarding inventory levels, upcoming deliveries, and invoicing schedules.
  • Support continuous improvement efforts related to inventory accuracy, purchasing efficiency, and billing quality.
• Compliance & Safety
  • Ensure all procurement and inventory practices adhere to Trucent policies and customer requirements.
  • Support safe handling and storage of chemicals by following site procedures and hazard communication requirements.
  • Maintain accurate records to support audits and compliance reviews.

Qualifications

Education

• High school diploma or equivalent required.
• Associate degree in business, supply chain, or a related field preferred.

Experience

• 2+ years of experience in purchasing, inventory control, materials management, or related administrative role.
• Experience in manufacturing, chemical handling, industrial distribution, or similar environment preferred.
• Prior experience with an ERP system (e.g., SAP, Oracle, Infor, or similar) strongly preferred.
• Customer-facing or on-site support experience is a plus.

Skills and Abilities

• Strong attention to detail and accuracy with data entry, quantities, and pricing.
• Good organizational and time-management skills; ability to manage multiple open orders and deadlines.
• Solid written and verbal communication skills to interact with customers, suppliers, and coworkers.
• Basic math skills and comfort working with quantities, unit conversions, and pricing.
• Proficiency with Microsoft Excel, Word, and Outlook; ability to learn ERP and customer systems quickly.
• Ability to work independently in a fast-paced industrial environment while maintaining a strong customer-service mindset.

• Valid driver’s license with an acceptable driving record per company policy (if occasional off-site errands or supplier visits are required).
