Legal eBilling Specialist

The Electronic Billing Specialist is responsible for supporting the full electronic billing cycle, including invoice submission, tracking, troubleshooting, and compliance with client billing guidelines. This role works closely with clients, attorneys, shareholders, and the billing team to ensure accurate, timely invoice processing, resolve rejections and appeals, maintain billing requirements, and support successful onboarding of new eBilling clients. This position reports to our Revenue Manager, may be located in any of our offices, is non‑exempt and requires four days in the office with one remote day. Duties and Responsibilities Submit, track and manage invoices through eBilling vendor platforms Ensure invoices comply with client‑specific billing guidelines and resolve rejection, reductions and appeals Ensure all tasks for assigned clients are entered into the billing and eBilling system in accordance with the Firm and client guidelines Upload invoices in LEDES formats as required Monitor invoice status, follow‑up on outstanding submissions and ensure timely payments Act as liaison between clients, shareholders, the billing team to resolve issues Maintain and update billing guidelines, matter set ups and vendor system requirements Work as part of the team to provide a cohesive eBilling support solution Process rate submissions, updates, and validations in accordance with client billing guidelines and engagement terms Partner with the internal billing team to ensure accurate data flow into eBilling systems Gather and submit documentation required to onboard new eBilling clients, including submitting the first invoice to ensure a successful submission Field eBilling inquiries; serve as a subject matter resource for compliance questions Performs a variety of duties to support the full eBilling cycle Frequent follow-up on all open items until resolved or paid; elevate when necessary Initiates troubleshooting support and escalations Foster positive work relationships Act as back up to billing team Knowledge/Skills/Abilities High school diploma or equivalent required Associates degree or vocational school training preferred Minimum of three (3) years of law firm billing or eBilling experience required Strong knowledge of eBilling platforms and LEDES formats including, but not limited to, CounselLink, Legal Tracker, Brightflag or Collaborati Adept at using spreadsheets and generating reports Experience with billing/accounting software; SurePoint (Rippe Kingston) or Elite experience a plus A high degree of accuracy and attention to detail Must be organized, have excellent work ethic, and able to work in a team environment Strong written/verbal communication skills and ability to interact professionally with attorneys, staff & clients Effective time management with ability to multi‑task and shift priorities successfully to meet deadlines Ability to work independently and under pressure Proficiency in MS Word, Excel, Outlook, Adobe and a document management system (iManage preferred) Prolonged periods of sitting at a desk and working on a computer Must be able to lift 15 pounds at times Benefits and Perks Competitive benefits package that includes medical, dental, vision, life insurance, short & long term disability and other ancillary benefits Generous Firm contribution to employee HSA Accounts each year, as well as, matching and profit sharing in our Firm’s 401(k)profit sharing program Central downtown location and choice of firm‑paid garage parking or firm‑paid monthly transportation allowance Digital family planning platform providing support through various life journeys and Backup Care Benefit Generous paid time off and 11 paid holidays Wellness Program that includes reimbursement for qualifying fitness and wellness expenses, GoPivot wellness platform, TelaDoc resources for physical and mental health appointment, and Employee Assistance Program (EAP) Quarterly training program for professional development Employee led Social Committee with regular social events and monthly community service opportunities Competitive salary that reflects your experience and skills #J-18808-Ljbffr Chamberlain Hrdlicka
