PEIMS Specialist

Under direct supervision, perform data entry and record maintenance for attendance, grades, discipline, and student demographic information. Maintain accurate and confidential student records in compliance with district procedures and PEIMS requirements.

Education/Certification:

• High school diploma or GED
• Post-secondary education preferred

Special Knowledge/Skills:

• Knowledge of general office procedures
• Proficient keyboarding and 10-key data entry skills
• Ability to use spreadsheets, databases, and word processing software
• Ability to follow written and verbal instructions
• Ability to manage multiple tasks and meet established deadlines
• Strong organizational, communication, and interpersonal skills
• Working knowledge of TEA and PEIMS data requirements
• Ability to maintain accurate and auditable records

Experience:

• Two years of clerical or secretarial experience, preferably in public education

Major Responsibilities and Duties:

Records and Data Management:

1. Maintain physical and electronic student records, including cumulative folders, PEIMS records, and demographic information.
2. Process new student enrollments and withdrawals and enter data into the student information system.
3. Enter attendance, grade, and discipline data accurately and timely.
4. Input PEIMS discipline and program data into the appropriate database.
5. Assist campus administration and counselors with preparation of reports and student data information.
6. Coordinate Family Access recordkeeping and communication.

Reception and Communication:

1. Greet and direct visitors; assist students, staff, and parents as needed.
2. Receive incoming calls, take accurate messages, and route to appropriate staff.
3. Facilitate communication with parents and guardians for informational purposes.

Other:

1. Provide clerical support as assigned.
2. Maintain confidentiality of student records in accordance with FERPA.
3. Follow district safety protocols and emergency procedures.

Supervisory Responsibilities:

None.

Mental Demands / Physical Demands / Environmental Factors:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals. Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Motion: Frequent repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching. Lifting: Occasional light lifting and carrying (less than 15 pounds). Environment: Office environment; may work occasional extended hours during reporting periods. Mental Demands: Work with frequent interruptions; maintain emotional control under stress.
