Administrative Support Associate (AP/AR Swing Team Member)

Geller Lighting Supply Co. Inc. is seeking a versatile, detail-oriented Administrative Support Associate to join our office operations team. This unique "swing" role is designed for someone who enjoys variety, thrives in a fast-paced environment, and is eager to learn both Accounts Payable and Accounts Receivable functions while providing administrative support across departments. This is a temporary-to-permanent opportunity, offering the chance to transition into a long-term role based on performance, attendance, and business needs. This position plays a key role in keeping our financial and administrative operations running smoothly by stepping in where support is needed most. The ideal candidate is highly organized, adaptable, customer-focused, and comfortable managing multiple priorities with accuracy and professionalism. What You’ll Do Support both Accounts Payable and Accounts Receivable operations Process invoices accurately and efficiently using company accounting systems Review, code, verify, and match invoices to purchase orders, pricing, and payment terms Assist with accounts receivable activities, including payment tracking and collection support Reconcile vendor statements and research discrepancies or aged invoices Communicate with vendors, customers, and internal teams to resolve issues promptly Maintain AP and AR inboxes and follow up on outstanding items Answer and direct incoming phone calls professionally Provide day-to-day administrative and clerical support to the office team Organize and maintain files, records, and office supplies Operate standard office equipment including copiers and scanners Assist with special projects and additional duties as assignedAdapt to changing priorities and provide coverage across functions when needed What We’re Looking For High school diploma or equivalent required 2+ years of experience in Accounts Payable, Accounts Receivable, administrative support, or a related role Strong attention to detail and ability to maintain accuracy under deadlines Excellent organizational and multitasking skills Ability to work independently while contributing to a collaborative team Strong written and verbal communication skills Customer-service mindset with strong problem-solving abilities Comfortable working in a fast-paced, high-volume environment Proficiency in Microsoft Office (Word, Excel, Outlook) Experience with ERP systems or ERP One+ is a plus, but not required Positive attitude and willingness to learn multiple functions within the organization Medical and health insurance benefits Retirement and profit-sharing plan contributions Paid vacation, personal days, and sick time Paid company holidays Job Type Temp-to-perm Full-time In-person position located in Baltimore, MD #J-18808-Ljbffr
