Position Overview

Plan, coordinate, and participate in the establishment and operation of specialized programs and projects within Duke University Hospital. The successful candidate will play a pivotal role in developing program concepts, coordinating comprehensive logistics, and advising on policies related to specified activities to ensure seamless operational execution.

Key Responsibilities

Program Development & Event Coordination

• Plan, coordinate, and participate in the implementation of departmental activities, including seminars, conferences, workshops, short courses, clubs, shows, and public events.

• Develop and coordinate new ideas and concepts for program themes.

• Manage all program logistics, materials, and resources from conception to completion.

• Monitor and evaluate program effectiveness, investigate trends, and implement modifications to continuously improve outcomes.

Administrative & Operational Leadership

• Plan, coordinate, and administer daily program activities, including the development, implementation, and supervision of related procedures, services, and systems.

• Provide administrative assistance to departmental staff to support the accomplishment of program objectives.

• Develop, coordinate, and advise staff regarding relevant hospital and departmental policy.

• Train employees in proper methods and procedures, ensuring high-quality and accurate work.

• Advise leadership regarding the status of current activities, potential program expansions, and recommendations for operational challenges.

Communications & Public Relations

• Coordinate and participate in public relations activities to promote program initiatives.

• Prepare and supervise the production of promotional materials, including brochures, bulletins, newsletters, press releases, ads, and fliers.

• Develop strategic plans and schedules for the release of publicity materials.

• Respond promptly and professionally to program inquiries.

Cross-Functional Collaboration & Financial Support

• Maintain active liaisons with other programs, offices, and departments across Duke Health to coordinate business and accomplish shared objectives.

• Interface with external organizations to enhance cooperative efforts and maximize available resources.

• Assist in the preparation and management of program budgets and grants.

• Monitor, verify, and reconcile the expenditure of budgeted funds.

• Prepare comprehensive reports and conduct preliminary analyses setting forth progress, adverse trends, and appropriate recommendations.

• Perform other related duties incidental to the work described herein.

Required Qualifications

Education & Experience

Bachelor's degree program with one (1) year of experience in program administration or event production.Two (2) years of postsecondary education with three (3) years of experience in program administration or event production. ORAn equivalent combination of relevant education and/or experience.

Knowledge, Skills, and Abilities

• Excellent written and verbal communication skills, with experience drafting professional newsletters, press releases, and executive reports.

• Strong organizational and project management skills with the ability to handle multiple events and deadlines simultaneously.

• Ability to collaborate effectively with internal Duke departments, clinical staff, and external community partners.

• Proficiency in standard administrative software, budget tracking, and promotional design tools.
