Graduate Medical Education Program Coordinator I

Job Summary This position is responsible for the successful administration and coordination of one or more accredited/non-accredited residency/fellowship programs at UT Southwestern Medical Center. The role works closely with the Program Director to implement and oversee program activities, facilitate educational sessions, maintain records and databases, provide oversight of the application process, and ensure compliance with accreditation standards. Responsibilities Track, document, and report resident and fellow educational activities to support board certification requirements. Serve as a key liaison among learners, faculty, staff, and regulatory bodies such as the Texas Medical Board, Council on Podiatric Medical Education, ACGME, AMA, NRMP, and others. Assist in planning, implementation, and administration of program academic and operational activities. Maintain strong knowledge of ACGME policies and ensure effective communication of policies to Program Directors, faculty, fellows, and staff. Utilize program systems, databases, and reporting tools to monitor compliance with ACGME, AMA, NRMP, TMB, and other accrediting bodies. Coordinate and facilitate all aspects of the GME program, including didactic sessions, conferences, grand rounds, orientation, graduation, and retreats. Conduct day‑to‑day administrative operations, maintaining program records, databases, and accreditation documentation. Assist with resident recruitment, selection, onboarding, visa, licensure, and credentialing. Support residents/fellows on program policies, procedures, and administrative matters. Work closely with the Program Director to ensure compliance with ACGME requirements and institutional policies. Assist program leadership with quality initiatives and improvement projects. Participate in professional development activities. Coordinate and facilitate resident/fellow evaluations, including scheduling, data entry, and analysis. Prepare and submit required reports and documentation to ACGME and other regulatory bodies. Maintain and update program letters of agreement with affiliated institutions and training sites. Coordinate accreditation site visits, special reviews, and annual program evaluations. Develop, implement, and track resident wellness programs. Maintain effective communication with all stakeholders. Use and maintain proficiency in relevant software systems such as the Residency Management System (RMS), electronic health records (EHR), and other program‑specific applications. Assist with program budget management, including monitoring expenditures, reconciling trainee clinical effort, and ensuring compliance with financial regulations and reporting requirements. Perform other duties as assigned. Qualifications Associate’s Degree in business administration, healthcare administration, or related field (or 60 semester hours of college credit). Two years of related experience may substitute for the degree. Experience required to submit to a federal background investigation. Preferred Bachelor’s Degree in a related field.
