Front Office Manager

Summary The Front Office Manager is responsible for management and day-to-day effective operations for guest reception, guest services, reservations, and concierge; including profitable financial management, effective leadership, excellent customer service skills, telephone etiquette, and supervision of department requirements and standards. Essential Functions Assist front office managers with the recruitment, training and development of all associates. Exercise coaching and counseling within the hotel's set policies. Ensure that all Human Resource standards and procedures are met on a daily basis. Oversee departmental matters related to federal, state, local employment, labor and civil rights laws. Interact frequently and positively with guests, resolving problems/issues to the satisfaction of involved parties. Maintain constant communication with management and other departments to ensure guest service needs are met daily. Visually monitor all elements of the departments (lighting, music, temperature), business and staffing levels, steps of service, FORBES standards, timing of service, hotel cleanliness and take steps to ensure hotel quality and presentations are met at all times. Maintain and review profitability measures of the departments with the General Manager, supporting overall hotel operations. Control payroll and equipment costs, minimizing loss. Ensure that operational pars and back‑stock levels are maintained by calculating quarterly OSE inventory. Develop and implement cost‑saving and profit‑enhancing measures throughout the departments. Review daily revenues and labor reports, comparing them to monthly forecast/budgets. Review monthly profit and loss statements with the General Manager and Department Managers and assist with monthly forecasting. Be accountable for the effortless and seamless movement of guests in and out of the hotel while providing exceptional levels of guest service. Communicate and develop department managers to ensure all developed standards are met consistently. Learn the hotel's life‑safety systems and be prepared at all times for emergency situations. Possess ability to work in OPERA, LMS, TIMESAVER, ADP, HRM, BIRCHSTREET and HOTSOS systems. Perform additional duties as assigned based on business needs. Qualifications College degree preferred. 3 to 5 years of leadership experience in a luxury hotel. Experience and knowledge of hotel operations is required. Opera experience preferred. Ability to work positively in a team environment. Excellent driving record. Exceptional guest recovery skills. Enjoy interacting with people in a fast‑paced environment. Remain calm and professional under potentially stressful situations to ensure guest satisfaction. Excellent organizational and time‑management skills. Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook). Positive attitude. Willingness to participate in a learning environment. Integration of company values throughout all interactions. Quick adaptation to using new software products. Dependable and available to work within the hotel on weekends, nights and/or holidays based on business demands. Physical Requirements Most work tasks are performed indoors. The position requires walking and giving direction most of the working day. Must be able to stand and walk for 8 hours a day, engage in grasping, writing, standing, sitting, repetitive motions, bending, climbing, listening, hearing and visual acuity. Must be able to push and pull carts and equipment weighing up to 250 lbs. occasionally. The pay scale for this position is $85,000.00 to $90,000.00. The pay scale is the base salary wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
