Summary Puget Sound VA Medical Center is hiring Lead Medical Support Assistant positions in the Hospital Specialty Management Service Line at the main Seattle campus. Qualifications United States citizenship (non‑citizens only when no qualified citizens are available). English language proficiency. High school diploma, GED, or equivalent certification. Minimum one year of specialized experience at GS‑6 level, collaborating with medical clinicians across multiple disciplines, scheduling interdisciplinary appointments, and advanced knowledge of policies and procedures related to coordinated care. Knowledge, Skills, and Abilities: Advanced knowledge of medical terminology and clinical flow processes relating to access to care across multiple clinics and community resources. Ability to utilize advanced patient care systems to support multiple interdisciplinary clinics. Organizational and prioritization skills to delegate tasks and meet deadlines. Effective written and oral communication with diverse care team members. Staff development and training skills. Staffing management and workflow adjustment to meet team and patient needs, including follow‑up on pending issues. Duties Provide administrative support to clinical colleagues for Veterans. Coordinate MSA assignments and workflow, especially in interdisciplinary units. Assess daily workload, assign work, and ensure proper staffing coverage. Evaluate training records and determine training needs of MSAs. Assist with complex and non‑standard procedures, including access across multiple clinics. Advise clinical staff on administrative processes. Use Electronic Health Record (EHR) with scheduling software to process and schedule orders. Recommend changes to clinic procedures based on guidelines. Enter, update, or verify insurance information following VHA policies. Assist and train other Medical Support Assistants as needed. Coordinate with patient care team to monitor appointment availability and utilization. Communicate with other agencies, departments, and non‑VA facilities. Prepare correspondence and manage follow‑up care such as consultations and tests. Process incoming secure messaging, participate in huddles and meetings. Set priorities and deadlines, identify incomplete encounters, and reinforce care plans. Monitor pre‑appointment information; verify accuracy in patient systems. Provide guidance to staff on policy changes, procedure updates, and create/maintain work schedules. Act as liaison among MSA staff, patients, and interdisciplinary team to resolve daily conflicts.
