Program Coordinator

Job Descriptions:

Position Summary:

Under the direction of a Program Supervisor, the Programs Coordinator is responsible for coordination of services, intake, billing and organizational metrics across all program offerings. This includes processing client referrals and demographics compiling related documentation including but not limited to service authorizations (A&I’s), client timecards, and billing and data tracking spreadsheets. The Programs Coordinator will also assist with improving participant access to and use of community resources by individuals. The Programs Coordinator must have excellent data management skills.

Essential Duties and Responsibilities:

1. Responsible for the client intake process ensuring that the required documentation is accounted for and thorough, utilizing Vertex, a cloud-based case management system.

2. Coordinates with clients and families to ensure all program information and communications are provided in an accurate and timely manner.

3. Supports the school break and summer program through coordination of scheduling orientations, outing locations, transportation, and food.

4. Supports program team meetings through the accurate documentation of meeting minutes.

5. Compiles program data including demographic information and the distribution of surveys and data information.

6. Coordinates with Programs Department and Accounting to ensure proper and timely billing for all services delivered.

7. Works with other departments throughout the organization to prepare and track departmental metrics and demographics on a monthly, quarterly, and annual basis.

8. Stewards’ excellent customer service and positive, productive relationships with community partners, i.e., GVRA, educational partners

9. Is a cultural ambassador for the organization fostering an environment of trust, alignment, transparency, and accountability.

10. Provides informational tours and responds timely to public inquiries and provides customer service assistance.

11. Communicates and interacts effectively and professionally with co-workers, management, customers, etc.

Required Experience:

Qualifications:

• Strong Proficiency with Microsoft Office Excel.

• Strong Customer Skills.

• A Georgia driver’s license required with clean driving record (MVR).

• Must pass drug screen and background check.

• Eligibility to work in the United States.

Education:

• Associates degree in business administration or related field or commensurate workplace experience.

Experience:

• Data tracking, accounting, or other related skills with emphasis on business match and spreadsheet development.

• Experience building and maintaining relationships.

• Experience driving organizational performance and goal achievement.
