Experience: 3+ years of administrative experience and data management experience, preferably supporting one or more leaders.
Must-Have:
- High School Diploma/GED; Bachelor's degree preferred.
- Computer proficiency with knowledge of business applications (e.g., Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills, including effective presentation ability.
- Ability to analyze organizational and administrative problems.
- Ability to prioritize work effectively, meet deadlines, and provide timely follow-up.
- Expertise in calendar management, meeting scheduling, and screening calls/visitors.
- Ability to gather, analyze, and summarize data.
- Comfort working in remote environments and knowledge of office administrative procedures.
- Demonstrated ability to partner with leadership and establish strong working relationships.
Description:
The Administrative Business Associate provides shared support to multiple leaders. This role aims to improve efficiencies across administrative activities and project coordination tasks. The associate should optimize their time and screen content. This enables leaders to focus on potential risks and decisions at the right time. Knowledge of department goals, objectives, and policies is essential. The Administrative Business Associate must be comfortable utilizing new technologies and assisting in process improvements.
Key Responsibilities:
- Optimize leaders' time by providing calendar management for meetings and appointments.
- Coordinate activities and resources for department-specific projects.
- Support the facilitation of meetings and special events to capture notes and distribute synopses for attendees.
- Provide best practices and feedback on technology and automation to enhance workflow.
- Coordinate timekeeping and payroll for the department as necessary.
- Screen and direct calls, mail, and visitors, answering inquiries as needed.
- Prepare communications, reports, and presentations with guidance from assigned leaders and stakeholders.
- Leverage existing and emerging technologies for general clerical responsibilities.
- Maintain and distribute departmental supplies.
- Ensure confidentiality of personal and confidential information.
- Greet visitors and respond to basic inquiries regarding departmental matters.
- Maintain sufficient knowledge of departmental regulations to answer inquiries appropriately.
- Perform other related duties as required.
