We are seeking a detail-oriented and professional Unit Secretary to join our medical/surgical team at our Jackson, MI facility. In this full-time position, you will provide essential administrative support to the 6SE Renal/Oncology unit, serving as a key liaison between patients, clinical staff, and other departments. Your organizational skills and efficiency will directly contribute to the smooth operation of our unit and the quality of patient care we deliver.
- Manage patient scheduling, admissions, and discharge procedures while maintaining accurate records
- Answer multi-line phones and direct calls to appropriate staff members with professionalism and courtesy
- Maintain and organize medical records, ensuring HIPAA compliance and confidentiality at all times
- Input and update patient information in electronic health records (EHR) systems with accuracy and attention to detail
- Coordinate communication between nursing staff, physicians, and other hospital departments
- Prepare and distribute unit correspondence, reports, and documentation
- Greet patients and visitors, providing directions and assistance as needed
- Assist with unit-based administrative tasks including supply ordering and inventory management
- Support clinical staff by preparing patient charts and gathering necessary documentation
- Respond to patient inquiries and concerns with empathy and professionalism
- Maintain a clean and organized front desk and administrative workspace
Qualifications
- Proven experience as a unit secretary, medical secretary, or similar administrative role in a healthcare setting
- Strong knowledge of medical terminology and healthcare operations
- Proficiency with electronic health records (EHR) systems and Microsoft Office Suite
- Excellent organizational and time management skills with ability to prioritize multiple tasks
- Strong written and verbal communication skills
- Demonstrated ability to work efficiently in a fast-paced, dynamic environment
- Knowledge of HIPAA regulations and patient confidentiality requirements
- Professional demeanor with strong customer service orientation
- Ability to work varied shifts as needed for unit operations
- Preferred: Experience in an oncology or renal unit setting
- Preferred: Familiarity with medical billing, coding, or scheduling software systems
- Preferred: Bilingual capabilities (English and Spanish)
