A Day in the Life

The U.S. Surgical Medical Affairs organization partners with healthcare professionals to advance clinical education and support the safe and effective use of surgical technologies. This function is responsible for planning and executing medical education programs, physician engagement activities, symposiums, conferences, and other strategic events that support learning, collaboration, and stakeholder engagement across the business.

This is an on-site role based in Lafayette, Colorado or Boston, Massachusetts. The Strategic Meeting Planning Specialist works closely with Medical Education, Physician Relations, Marketing, Research & Development (R&D), and external partners to deliver compliant, customer-focused event experiences

As a Strategic Meeting Planning Specialist, you will lead the planning and execution of medical education programs and business meetings that support strategic objectives across the U.S. Surgical Medical Affairs organization. This role is responsible for end-to-end event management, including logistics, attendee experience, vendor coordination, budgeting, reporting, and operational execution while ensuring compliance with company policies and applicable regulations.

Primary Responsibilities

• Lead the planning and execution of internal and external meetings, educational programs, symposiums, and conferences aligned with business objectives and stakeholder expectations.
• Partner with Medical Education, Physician Relations, Marketing, Research & Development (R&D), and external vendors to coordinate event strategy, content delivery, and attendee engagement.
• Manage event budgets, track expenditures, reconcile billing, coordinate vendor payments, and identify cost-saving opportunities.
• Source, negotiate, and manage hotels, venues, transportation providers, and event service vendors to support successful program execution.
• Coordinate audiovisual, production, and event technology solutions, including registration platforms, mobile applications, audience response systems, and other attendee engagement tools.
• Design and manage event registration processes, attendee communications, travel logistics, accommodation requests, and overall participant experience.
• Oversee on-site event operations and serve as a key point of contact for stakeholders, vendors, and attendees throughout program delivery.
• Generate and analyze event metrics and reporting to evaluate outcomes, communicate results, and recommend process improvements.

Required Qualifications

• High School Diploma or equivalent and 6+ years of relevant meeting or event planning experience; OR Associate's Degree and 4+ years of relevant experience; OR Bachelor's Degree and 2+ years of relevant experience.
• Experience managing end-to-end event logistics, including registration, attendee communications, travel coordination, vendor management, and on-site execution.
• Experience developing and managing event budgets, expense tracking, billing reconciliation, and vendor payment processes.
• Experience using event management platforms such as Cvent or similar meeting management systems.
• Experience working with multiple stakeholders and vendors to deliver projects while meeting established timelines and compliance requirements.

Preferred Qualifications

• Experience supporting medical education programs, healthcare events, or physician engagement activities.
• Experience managing hotel sourcing, contract negotiations, and venue selection for meetings or conferences.
• Experience coordinating audiovisual production, event technology platforms, and attendee engagement tools.
• Knowledge of compliance requirements related to healthcare, medical device, pharmaceutical, or life sciences meetings and events.
• Experience analyzing event performance metrics and using data to drive process improvements and program recommendations.

For Baccalaureate degrees earned outside of the United States, a degree that satisfies the requirements of 8 C.F.R. § 214.2(h)(4)(iii)(A) is required.

Salary ranges for U.S (excl. PR) locations (USD):$82,400.00 - $123,600.00This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP).The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).
