Fitness & Wellness Member Services Coordinator Location: Tampa, FL Schedule: FullTime About the Role We are seeking a highly organized, service-oriented, and professional Fitness & Wellness Member Services Coordinator to support the daily operations of our Health & Wellness Center. This role serves as a key point of contact for members, guests, fitness professionals, and department leadership while helping ensure exceptional member experiences and smooth department operations. Key Responsibilities Member Services & Front Desk Support Welcome members and guests with a warm, professional, and hospitality-focused approach. Assist members with questions regarding wellness programs, fitness classes, appointments, and department services. Provide exceptional customer service while maintaining a positive and welcoming environment. Respond to member inquiries and ensure requests and concerns are directed to the appropriate team members for follow-up. Scheduling & Appointment Coordination Schedule and confirm personal training sessions, massage appointments, Pilates sessions, wellness consultations, and other member services. Manage group fitness reservations, cancellations, waitlists, and attendance tracking. Communicate schedule updates, instructor changes, room assignments, and special program information. Support department scheduling and daily operational coverage needs. Administrative Support Provide administrative support to the Fitness Director and department leadership team. Assist with payroll preparation, staff timekeeping records, commission tracking, invoices, purchase orders, and accounts payable documentation. Maintain organized files, member records, waivers, reports, and departmental documentation. Monitor inventory levels and assist with ordering supplies, retail merchandise, and wellness center materials. Communication & Program Support Assist with member communications, newsletters, emails, promotional materials, and event announcements. Support wellness programs, new member orientations, workshops, seasonal promotions, and special events. Coordinate communication between fitness professionals, wellness providers, instructors, and other departments. Ensure program information is accurate, current, and effectively communicated. Facility & Operations Support Assist with daily opening and closing procedures. Monitor fitness, wellness, and common areas to ensure cleanliness, organization, safety, and readiness for members. Report maintenance, housekeeping, equipment, and supply needs promptly. Help maintain a professional, member-ready environment throughout the facility. Team & Department Support Support staff communications, scheduling updates, reminders, and operational follow-up. Assist in coordinating departmental coverage and member service needs. Reinforce department policies, procedures, and service standards. Maintain confidentiality and professionalism when handling member and staff information. Qualifications Required Skills Strong customer service, communication, and organizational skills. Excellent attention to detail and ability to manage multiple priorities. Proficiency with scheduling software, email systems, calendars, spreadsheets, and general office applications. Ability to work effectively in a fast-paced, member-focused environment. Professional demeanor with strong interpersonal skills and a positive attitude. Preferred Qualifications Previous experience in administrative support, hospitality, fitness, wellness, spa, recreation, or private club environments. Experience coordinating schedules, appointments, or member services. Familiarity with health and wellness programs, fitness operations, or hospitality services.
