Supports managers and employees through a variety of tasks related to organization and communication.ESSENTIAL JOB FUNCTIONS:Daily: Answer phone calls related to all company inquiries from customers and sales staff.Taking customer payments and over the phone payments for deliveriesPosting payments (AgVance)Assist with Energy Assistance paperwork and administrationMaintain knowledge of Esys/WebsAs Needed: Purchase and process birthday cards and company monthly calendar (GM issues list)Purchase Walmart gift cards to send out with birthday cardsCoordinate and pick up birthday treatsFile sales reports and work ordersSeparate Bulk Fuel driver tickets and disperse to Inventory Specialist and Boles locationWord processing projects for General Manager, Operations Manager, Sales Manager, Credit Manager, Controller and Human Resources ManagerCall in Estimated Tax Payment Confirmation for ControllerAssist with company events; coordinate meals, memos, flowers, etc.Ordering and inventory control of office supplies and forms (Modern or Stiles)Coordinate schedule for shredder box pick upCoordinate special mailingsCoordinate Fed Ex and UPS shipping and distribute incoming deliveriesSchedule office meetingsKeep employee addresses and phone listings current and availableOther duties as assignedOTHER JOB FUNCTIONS: Report to work at prescribed times. Come to work neat and clean and in company uniforms as much as possible to project a good company image. Be safety conscious always and report any unsafe operations or equipment to Supervisor. Cooperate with Supervisor, co-workers, patrons and peers. Be friendly and show concern for patron needs. Strive to keep company equipment in high state of repair and cleanliness. Have a working knowledge of all products and services offered by company. Notify Supervisor of all time off (i.e. personal days, sick days, vacation, etc.) at earliest possible time. Perform all other duties as assigned. Other duties may be assigned.REQUIREMENTS: Associate degree (A.A.) or equivalent from two-year College or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience. Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development. Must be able to obtain and maintain a valid driver's license and satisfactory driving record. Must be able to work extended hours as business conditions warrant.
