Job Summary

The Center Specialist is a full-time fiscal-year appointment reporting to the Director of the Maxine A. Smith Center. The position provides clerical, administrative, and operational support for the Center and assists students, employees, visitors, and community partners.
The Center Specialist helps coordinate Center activities, student support, community engagement, facility needs, and general office operations. The position also helps maintain a professional, welcoming, and organized environment that supports teaching and learning.

Job Duties

• Supports the mission, values, policies, procedures, and goals of the College.
• Greets visitors, answers telephone calls, monitors email, and provides timely and accurate information.
• Provides general assistance to students and refers specialized or technical matters to the appropriate College area.
• Supports student activities, recruitment efforts, and other Center initiatives.
• Assists with planning and coordinating College and community activities held at the Center.
• Develops and maintains professional relationships with community partners.
• Assists with outreach activities, communications, materials, and follow-up.
• Reserves Center space through the College’s official scheduling process before communicating or confirming commitments.
• Provides at least two weeks’ advance notice to the supervisor of planned events and operational needs when reasonably known.
• Monitors Center schedules and activities and communicates potential conflicts or concerns.
• Submits facility, technology, custodial, equipment, and operational requests through the appropriate process and follows each request through completion.
• Provides the supervisor with weekly updates on assigned projects, outstanding requests, upcoming activities, and unresolved concerns.
• Assists with maintaining equipment, supplies, and inventory assigned to the Center.
• Assists with the daily coordination of student workers, temporary employees, volunteers, or other assigned personnel.
• Maintains accurate records, calendars, correspondence, reports, and other Center documentation.
• Prepares basic documents, spreadsheets, presentations, and communications as needed.
• Participates in training and professional-development activities.
• Performs other related duties as assigned.
• Maintains flexibility to work evenings and weekends as needed.

Minimum Qualifications

• High-school diploma or equivalent.
  
• Two years of administrative, clerical, customer-service, or related experience.
  
• Strong interpersonal, organizational, and communication skills.
  
• Intermediate computer skills, including experience using Microsoft Office or similar software.

Preferred Qualifications

• Associate degree from a regionally accredited institution.
  
• Bilingual or multilingual communication skills.
  
• Experience working in higher education, student services, community engagement, events, or office operations.
  
• Experience coordinating meetings, activities, facility requests, or community programs.
  
• Experience using Banner, scheduling systems, customer-relationship management systems, or other related technology.
  
• Knowledge of College programs, services, procedures, and operations.

• Ability to manage multiple responsibilities, meet deadlines, provide regular updates, and complete assigned tasks with limited supervision.
  
• Ability to establish and maintain effective working relationships with students, employees, community partners, and the general public.

• Ability to plan, organize, and manage activities with limited supervision.
  
• Ability to provide professional customer service and appropriate referrals.
  
• Ability to monitor assigned responsibilities and communicate progress, delays, or concerns.
  
• Ability to maintain accurate records and follow established procedures.
  
• Ability to use standard office and classroom technology.
  
• Ability to work independently and collaboratively as part of a team.
