Position Overview The Office Manager/Administrator is a multifaceted role that drives operational excellence, strategic growth, and financial stability across the organization. Key responsibilities include: Key Responsibilities 1. Process Management SOP & Checklist Compliance: Ensure that standard operating procedures (SOPs) and checklists are up to date and strictly followed. 2. Purchase Planning Procurement Oversight: Oversee direct and office purchase planning to ensure timely procurement of goods and services at optimal cost. 3. Construction Project Management Payment Oversight: Manage invoicing, milestone payments, and ensure adherence to project budgets. Contract Management: Negotiate and administer contracts with contractors, suppliers, and stakeholders, ensuring compliance and clarity in deliverables. 4. Asset Management Vehicle Management: Oversee the procurement, maintenance, and lifecycle management of company vehicles. Uniform Management: Manage the acquisition, distribution, and upkeep of employee uniforms. Equipment Management: Maintain an inventory of company equipment, ensuring regular maintenance, tracking usage, and planning for timely replacement. 5. Staff Management Assistance Recruitment & Training: Assist with recruiting and training while fostering a positive work environment. Performance Management: Assist with performance management and professional development initiatives. Employee Onboarding & Offboarding: Manage comprehensive onboarding for new hires and structured offboarding processes. 6. Business Development & Outreach Relationship Building: Develop and maintain relationships with key clients, partners, and stakeholders. External Events & Expo Support: Help prepare and set up external events and expos. Awards & Speaking Engagements: Assist with enhancing company exposure through awards, nominations, and speaking opportunities at trade organizations. 7. Client Relations Negotiation and Contracts: Secure advantageous terms and manage vendor relationships. Customer Focus: Ensure customer satisfaction by aligning products or services with client needs. Customer Service & De-escalation: Proactively manage and resolve customer issues by de-escalating conflicts to maintain positive relationships. Develop and deliver detailed reports that provide insights into service performance and client-specific metrics. Implement structured processes to onboard new customers and manage seamless offboarding when necessary. 8. Reporting and Analysis Customer Reporting: Customer Onboarding & Offboarding: Performance Metrics: Monitor key performance indicators (KPIs) to track business health and progress. Senior Management Reporting: Provide comprehensive reports to senior management on business performance and potential improvements. 9. Risk Management and Compliance Regulatory Compliance: Assist with ensuring legal and regulatory compliance. 10. Financial Management Cost Control: Implement measures to optimize costs while maintaining quality. Accounts Receivable Management: Monitor and manage receivables, including addressing AR items overdue by 60+ days to maintain healthy cash flow. 11. Additional Responsibilities Responsibilities include the above and other related tasks. Qualification Educational Background Bachelor’s degree in Business Administration, Management, Finance, or a related field. Relevant Experience 3+ years in business management, operations, or project management roles. Proven experience in financial oversight, including budgeting, cost control, and accounts receivable management. Background in landscaping, construction, or procurement planning is highly desirable. Experience with process management and implementing/updating SOPs. Interpersonal and Leadership Skills Excellent communication and negotiation skills for managing client relations, vendor contracts, and internal teams. Proven ability to lead and motivate staff, assist in recruiting, training, and performance management. Experience in customer service de-escalation, ensuring prompt resolution of client issues. Strategic and Operational Competence Demonstrated ability to oversee business development initiatives, external events, and outreach efforts.
