POSITION SUMMARY

The Housing Assistant will support the daily operations of University Housing through administrative support, student communication, housing assignments, and logistical coordination. The role includes managing housing and meal plan communications, assisting students with housing-related questions, maintaining accurate records and assignments, coordinating room reservations, and housing processes, and supporting move-in, move-out, and summer housing operations.

PRIMARY RESPONSIBILITIES

  1. Manage the New Student Housing email and Meal Plan email inbox; respond to routine inquiries and escalate sensitive issues.
  2. Draft and send clear, professional communications to students, staff, and campus partners; Track housing deadlines and send reminders and follow-ups.
  3. Hold office hours to meet with students and address initial questions and concerns.
  4. Assist with housing assignments, room changes, cancellations, and check-in/check-out processes.
  5. Maintain accurate records in the housing management systems; track contracts, forms, and compliance documentation.
  6. Coordinate room reservations for housing operations, meetings, and trainings; support move-in, move-out, and break/summer housing logistics.
  7. Assist with meal plan changes, room swap processes, and housing fairs.

REQUIREMENTS

Must understand, support, and embrace the mission of Franciscan University of Steubenville and possess the following: Technical Skills
  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Database and record management
  • Zoom and Microsoft Teams
  • Student conduct management systems
  • Student housing management systems
Non-Technical Skills & Competencies
  • Maintain confidentiality and FERPA compliance.
  • Demonstrate strong organization, attention to detail, and time management.
  • Use sound judgment and escalate concerns appropriately.
  • Attend required meetings, trainings, and supervision sessions.
Education & Experience
  • BA or BS degree required.
  • Experience in higher education, student affairs, residence life, housing operations, or administrative support preferred.
  • Strong written and verbal communication skills.
Certifications & Licenses
  • FERPA training required or willingness to complete upon hire.
  • Must successfully complete all required University student employee onboarding and training.
Workplace Factors
  • Flexible schedule, including occasional evening or weekend hours during peak housing periods such as move-in, move-out, and training events.
  • Ability to work in an office environment and utilize computers and office equipment for extended periods of time.
  • Occasional lifting, moving, or transporting housing materials weighing up to 25 pounds.
  • Ability to walk across campus and access residential facilities as needed.
