Front Desk Coordinator

Florida Digestive Health Specialists

Our team includes many of Florida’s top gastroenterology clinicians and we are committed to providing compassionate care and advancing research to improve patient outcomes across 30 locations in Florida. Front Desk Coordinator We are seeking an organized Front Desk Coordinator with a strong commitment to patient care. The ideal candidate will provide exceptional customer service, manage administrative tasks, and maintain smooth operations at the front desk. Responsibilities Greet patients and visitors with a warm and welcoming demeanor. Ensure completion of patient paperwork, sign‑in, and security procedures, and schedule patients. Answer phone calls, take messages, and redirect calls as necessary. Return phone calls and monitor email requests in a timely manner. Maintain distribution of faxes, incoming and outgoing. Maintain personal faxes, telephone encounters, and Teams messaging. Schedule appointments and surgical procedures. Request authorization for office visits and surgical procedures as needed. Keep patient appointments on schedule by notifying providers of patient arrival, reviewing service delivery versus schedule, and reminding providers of delays. Communicate effectively with patients, medical staff, and other team members. Collect copay and patient balance due. Comfort patients by anticipating anxieties and answering their questions. Verify insurance information, process patient balances, and reconcile copayments daily. Handle inbound calls and inquiries from patients regarding appointments and general inquiries with professionalism and empathy. Maintain accurate patient records, ensuring all necessary information is collected and updated in the system. Adhere to HIPAA regulations and protect patients’ rights by maintaining confidentiality of medical, personal, and financial information. Maintain cleanliness and organization of the front desk and reception area. Maintain operations by following policies and procedures and reporting needed changes. Assist with other administrative tasks as assigned by management. Other duties as assigned. In addition to the responsibilities listed above, employees may be required to perform additional tasks or duties as assigned by management. Qualifications High school diploma or equivalent required. Previous experience in a medical office or healthcare setting preferred. Excellent verbal and written communication skills. Strong organizational skills with the ability to multitask and prioritize tasks in a fast‑paced environment. Empathetic and compassionate demeanor, with the ability to handle sensitive patient situations with care and professionalism. Proficiency in using scheduling software and electronic medical record (EMR) systems. Ability to maintain professionalism and composure in stressful situations. Ability to collaborate effectively with colleagues and contribute to a positive work environment. Willingness to adapt to changing priorities and work schedules as needed. Physical Demands The employee is frequently required to walk, sit, use hands for fine manipulation, handle or feel and reach with hands and arms using a keyboard and video display terminal. The employee is occasionally required to stand and stoop, kneel, crouch or crawl, and climb stairs. The employee should be able to lift and move up to 25 lbs. The work environment is typically quiet to moderate with standard office noise levels. While performing the duties of this job, the employee may occasionally be exposed to sounds such as ringing phones, office equipment, and conversations among colleagues.
