The organization relies on a steady and dedicated volunteer corps that is in the building during most open hours, and it sees present and former culinary job training students coming and going regularly. Food and food culture are ever-present.The Development Operations Manager oversees the systems, processes, data, and day-to-day operations that support an effective and high-performing development department. This hands-on position is responsible for ensuring the accuracy, timeliness, and integrity of development data and activities, with primary oversight of grants management, Salesforce administration, gift processing, donor and funder acknowledgement and stewardship, and departmental workflows. This position supervises the Development Coordinator and is expected to be both a capable manager and a collaborative team member. The successful candidate is highly organized, detail-oriented, adaptable, solutions-oriented, and committed to producing consistently high-quality work. This individual must be comfortable embracing change, learning new systems and processes, and taking on evolving responsibilities in a rapidly growing organization while contributing to a positive, collaborative, mission-focused team culture.Essential Duties and ResponsibilitiesGrants Management & AdministrationOversee the grant management process, including proposal development, reporting, grant calendars, records, deadlines, and documentation.Review and manage the grants consultant's work to ensure accurate, timely, and compelling grant proposals and reports; write or substantially contribute to these materials when needed.Ensure accurate grant records are maintained in Salesforce and other appropriate systems, along with organized records of program stories, accomplishments, and data for use in proposals and reports.Maintain a clear grant application and reporting schedule, ensuring deadlines and follow-up activities are tracked and completed; identify opportunities to improve grant tracking, documentation, communication, and workflow.Coordinate with development, finance, and program staff as needed to gather information, review materials, and ensure proposals and reports accurately reflect current activities and financial information.Salesforce Oversight & AdministrationServe as Salesforce Administrator and be the main internal contact for managing the system for all Second Helpings operationsOversee the effective use of Salesforce for development operations and donor management, maintaining accurate, consistent, and complete development recordsBuild and maintain reports, dashboards, and lists needed for mailings, donor communications, data review, and decision-making.Develop and maintain Salesforce functionality to support team needs, improve workflows, and strengthen data tracking.Train and support staff in Salesforce functionality, data practices, and development processes; troubleshoot issues and identify practical solutions to improve system performance and usability.Work with Salesforce consultants or other external resources as needed.Evaluate current Salesforce practices and recommend changes that improve efficiency, accuracy, reporting capabilities, and user experience.Help maintain consistent data-entry standards, procedures, and documentation.Development OperationsOversee day-to-day development operations, including development data and reporting, gift processing and reconciliation, donor and funder acknowledgement and stewardship, mailings, appeals, prospect management, and recurring projects. Collaborate with Finance to ensure Salesforce is consistent with accounting records.Oversee prospect and donor data management, including prospect assignments, solicitation activity, pipeline tracking, routine database maintenance, data hygiene, and movement through the solicitation cycle. Ensure accurate, timely reporting supports fundraising strategy, decision-making, and revenue goals.Oversee prospect research processes and provide Development staff and leadership with accurate data, lists, reports, and operational support needed to execute fundraising plans.Supervise and support the Development Coordinator by setting priorities, providing direction and feedback, and ensuring accurate, timely, high-quality work. Ensure gifts and donations are processed appropriately and serve as a backup for gift entry and processing as needed.Oversee acknowledgement and stewardship processes, schedules, quality control, and follow-up to ensure donors and funders receive timely and appropriate recognition and that responsibilities are completed by the appropriate team member.Establish effective processes for tracking projects, deadlines, responsibilities, and follow-up; regularly evaluate, streamline, and document development SOPs, workflows, and systems. Support the Chief Philanthropy Officer and development team with operational projects and reporting as needed.Provide tours of Second Helpings as needed.Other duties as assigned.RequirementsCore CompetenciesExceptional Organization & Project ManagementAttention to Detail & QualitySalesforce Expertise & Systems ThinkingProcess ImprovementCollaboration & CommunicationAdaptability & InitiativePeople Management & TrainingConfidentiality & DiscretionCustomer Service OrientationPositive, Team-Oriented ApproachJob RequirementsBachelor's degree or equivalent combination of education and relevant experience.Minimum of five years of experience in development operations, fundraising operations, or nonprofit administration.Demonstrated experience working with Salesforce; Salesforce administration experience strongly preferred.Experience managing donor databases and development data, including data entry, reporting, list management, and data integrity.Experience managing grants, grant calendars, proposal/report processes, and grant records; experience with grant writing and reporting preferred.Experience supervising, training, or managing staff, with the ability to provide clear direction and effective support.Excellent written and verbal communication skills, including strong proofreading and editing abilities.Strong organizational and project management skills, with demonstrated ability to manage multiple priorities and deadlines effectively.High level of attention to detail and demonstrated commitment to accuracy.Ability to analyze processes, identify problems, and develop practical, solutions-oriented improvements.Ability to learn new systems and technologies quickly and effectively.Ability to work independently, follow directions, exercise good judgment, and take initiative.Strong customer service skills and a positive, professional approach to working with colleagues and external stakeholders.Passionate commitment to mission of Second Helpings.Physical Demands and Work EnvironmentAbility to remain in a stationary position for lengthy periods of time.Must be able to move up to 25 lbs.Repetitive motions sitting at a computer keyboard.Parking and lunch are provided.Second Helpings embraces diversity and equal opportunity.
