Parish Secretary

Reports to: Pastor

Part-Time: 24 hours per week

Tuesday-Thursday 9 to 3:30 pm and Friday 9 am to 1 pm

Salary commensurate with experience

FLSA: Hourly, Non-Exempt

GENERAL SUMMARY

The Parish Secretary position is responsible for a variety of church office functions. The ideal candidate is a team player and a great problem-solver.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Screen, prioritize, and route calls to the appropriate personnel or provides direct assistance to individuals within scope of responsibility.
• Greet and receive visitors in a courteous and professional manner, directing them to the appropriate parties.
• Respond to work assignments and projects in a timely manner and provide regular status updates on projects and estimated timelines for completion.
• Maintain website and parish bulletins.
• Meet with families to plan funerals.
• Schedule Liturgical Ministry volunteers for Daily, Weekend Mass, and Holy Days of Obligation.
• Schedule Mass and organize flower purchase for intentions.
• Maintain an organized, neat, and efficient filing system and create, update, and maintain accurate databases, files and other records and information.
• Perform other related duties as assigned by pastor

KNOWLEDGE, SKILLS, AND ABILITIES

• High School diploma or GED and a minimum of one year of administrative experience.
• Knowledge of Microsoft Office products, Word, Excel, PowerPoint, and Publisher, and Apple products, including iMac required.
• Customer service experience.
• Excellent organizational skills.
• Ability to communicate effectively and follow instructions.
• Maintain a respectful and quiet atmosphere in the office.
• Demonstrate professionalism, empathy, tact, courtesy and diplomacy.
• Maintain a high level of respect, confidentiality, and discretion with sensitive information.
• Practicing Catholic preferred. Must respect, promote, accommodate, and not be in conflict with the mission, moral and social teachings, doctrines, and laws of the Roman Catholic faith.
• Must successfully pass the required criminal background check prior to employment and every five years.

LANGUAGE SKILLS

Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the public.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
