Facilities Operations Supervisor

Androscoggin Bank, a local community leader and certified B-Corp, is looking to hire a Facilities Operations Supervisor to oversee our bank footprint of locations. In this role, you would be responsible for long-term and short-term planning, organizing, and directing activities associated with maintenance, repair, additions, and renovation of the bank facilities and commercial equipment. You Will partner with the appropriate leaders and vendors to effectively project manage (plan, monitor, review and implement) major and minor projects and capital additions to facilities and grounds. In addition, you would be the primary department contact for internal clients who have inquiries or problems. Additional Responsibilities Include: Oversee the day-to-day coordination, maintenance, repair, and improvement of Bank facilities and related equipment. Manage vendor relationships, including sourcing vendors, preparing and collecting bids, recommending vendor selection, negotiating service contracts, and monitoring quality of service delivery. Manage relationships with 40+ vendors and ensure vendor due diligence requirements are completed and maintained in vendor management software. Serve as the primary contact for internal facility requests, vendor coordination, and follow-up through the Facilities Track-it Dashboard. Use Track-it to manage facilities work requests, dispatch the appropriate vendor, and ensure timely resolution of requests in alignment with established service levels. Prioritize and resolve facility-related tickets, with a focus on safety, building access, security, and business continuity. Respond in a timely manner to internal and external clients and vendors while maintaining a high level of service that is prompt, efficient, and accurate. Manage and support facility projects, including repairs, renovations, office moves, branch updates, equipment installation, and capital improvements. Support expense and capital budget planning by researching needs, tracking expenditures, analyzing data, and partnering with Finance. Monitor budget versus expenditures monthly, prepare information for the annual budget, and validate and approve invoices to ensure accurate expense allocations. Coordinate purchasing decisions for facility services, supplies, furniture, workstations, equipment, and print inventory. Manage the third-party supply/print vendor relationship, including the online catalog and print inventory supply levels. Serve as the primary Bank contact for USPS and other mail service providers, resolving issues related to registered mail, bulk mail, presort mail permits, and related services. Support physical security needs, including access systems, cameras, alarms, doors, and emergency facility issues. Respond to emergencies and alarms on an on-call basis during both business and non-business hours, arranging coverage with other staff when unavailable. Participate in after-hours emergency response to support Facilities, Security, and IT-related incidents. Maintain facility floor plans, parking assignments, procedures, compliance records, and required safety documentation. Act as a liaison with city departments, mail service providers, vendors, internal leaders, and Human Resources as needed. Ensure all work aligns with regulatory requirements, Bank policies, client privacy standards, and the Bank’s service expectations. Travel and drive to external locations as needed. Qualifications: Four-year college degree; or at least five years direct experience in space, capital planning and facilities management. Project management and vendor management experience required with demonstrated decision making accountability. Experience with a deep knowledge of Microsoft Office –specifically Excel and Word. Access experience is a plus. Proven communication and interpersonal skills. Ability to handle multiple priorities and tasks. Proven ability to meet deadlines and complete work in a timely manner. Requires a valid Maine Driver's License.
