Key Accountabilities

Office Administration and Support: Handle incoming and outgoing communications, provide general administrative assistance, manage office space, monitor office supplies inventory, organize common areas, coordinate maintenance checks, identify and implement process improvements, assist in creating and distributing company documentation, support finance activities, assist in organizing events, coordinate logistics, prepare event materials, create presentations, and update S.O.P.s.

Human Resources and Employee Support: Support recruitment activities, assist with onboarding and off-boarding, participate in the Culture Committee, update company policies, and distribute employee handbooks.

Project/Logistics Support: Coordinate procurement, obtain quotes, liaise with vendors, manage project logistics, support field rotations, assist with travel arrangements, process invoices, reconcile receipts, support budget updates, contribute to asset management, and perform other duties as required.

Health and Safety Awareness: Promote the Health, Safety and Environment Program, provide orientation for new workers, report unsafe work practices, assist with incident reporting, assist with investigations, review HSE incidents, follow compliance legislation, manage HSE Program, maintain HSE records, communicate HSE information, review and sign-off on HSE inspections, advise Project Managers on HSE documentation, and complete emergency response plans, hazard assessments, job safety analyses, and safe work practices.

Position Requirements

Education: Minimum 2-year diploma or associate degree OHS certification, Safety & Health Fundamentals Certificate, or equivalent

Experience: Minimum of 1-3 years in an administrative role, 1-3 years in HSE roles, preferably in geological/mining industries

Designations & Certifications: MSHA Certificates (Blue Card is considered an asset), Standard First Aid

Knowledge, Skills & Abilities: Proactive attitude, strong problem-solving skills, strong communication skills, time and calendar management, attention to detail, proficiency in Microsoft Office Suite, typing speed 50 WPM, ability to communicate in French is an asset, KPI analysis, document management skills, understanding of OSHA and MSHA regulations, comfort with incident response and root cause analysis

Working Conditions

• Primarily works in a standard office environment with occasional exposure to physical hazards.
• May encounter high-stress situations, especially when dealing with tight deadlines, multiple projects, or significant organizational changes.
• This position requires that the candidate will be in front of a computer for long periods, up to 8 hours a day.
• Potential discomfort when working with computers for long periods may happen.
