Key Responsibilities

• Manage complex executive calendars scheduling and domestic and international travel arrangements.

• Coordinate executive leadership meetings Board meetings presentations and special events.

• Prepare meeting agendas reports correspondence presentations and executive briefing materials.

• Track key decisions action items and deadlines to ensure timely follow-through.

• Serve as a professional liaison between executives Board members internal teams and external stakeholders.

• Handle confidential business financial and personnel information with the highest level of discretion.

• Process expense reports invoices and administrative requests.

• Support strategic projects leadership initiatives and process improvements.

• Anticipate executive needs proactively resolve scheduling conflicts and adapt to changing priorities.

Qualifications

• 5 years of Executive Assistant experience preferably supporting C-suite executives CEOs CFOs or other senior leadership.

• Proven experience managing complex calendars executive travel and high-level meetings.

• Experience coordinating with Board members or executive stakeholders strongly preferred.

• Advanced proficiency in Microsoft Office 365 including Outlook PowerPoint Excel and Teams.

• Exceptional written and verbal communication skills.

• Strong organizational skills attention to detail and ability to manage competing priorities.

• Demonstrated professionalism sound judgment and ability to maintain strict confidentiality.

• Comfortable working independently and leveraging technology and AI tools to improve efficiency.

• Bachelors degree preferred but not required.

• Flexibility to accommodate occasional time-sensitive requests outside standard business hours.
