Human Resources On-boarding Coordinator
The Human Resources On-boarding Coordinator is an administrative professional providing human resources recruiting and on-boarding/off-boarding support to the HR department. This position will report to the Assistant Director of Human Resources and works to support candidate scheduling, recruiting coordination, job fair and event support as well as new hire on-boarding and off-boarding, ultimately ensuring employees have a streamlined and consistent experience. The position will be physically located in the Public Safety Building and will support various city departments with recruiting and on-boarding and off-boarding needs. The person in this role will provide other administrative support to the Human Resources department as needed including participating or leading employment engagement activities, supporting administrative employee or vendor requests, and engaging with other members of the team to collaborate on projects and human resources initiatives.
Work requires exercising independent judgment in assessing the needs of the employees and recommended courses of action. Assignments are made orally and in writing and work is reviewed through discussions and observations of results obtained.
Examples Of Duties
- Ensures on-boarding and new hire processes are followed and employees have a positive experience throughout the hiring and on-boarding process.
- Acts as a resource for newly hired employees building a relationship with them throughout the hiring and on-boarding process as their main point of contact.
- May assist in scheduling candidate interviews and pre-employment testing/screening based on the position as needed.
- May assist in maintaining candidate status log and provide updates on candidate workflow to HR Partner and Assistant Director of Human Resources on a regular basis.
- Schedules and monitors on-boarding tasks for new employees in on-boarding system (NeoGov).
- Provides a welcoming experience for newly hired employees. Ensures supervisors are prepared for employee on their first day, prepare welcome swag and process ID picture badges as needed.
- Completes employer and any outside government agency on-boarding tasks in a timely manner based on the compliance and legal requirements for the specific position. Typical tasks include new hire entry in payroll/HR system, completing personnel orders and PAM forms as needed.
- Facilities in-person new hire on-boarding session with HR team members.
- Facilitates employee off-boarding processes including scheduling exit interviews, retirement events and other activities as requested by the department.
- Provides administrative support to the Human Resources department through leading and participating in recognition and promotion events, employee administrative and public records requests and as a support to the Police Off Duty details program.
- Assist with other department initiatives as requested to ensure employees have a positive experience during their employment with the City.
- Monitors and ensures the city's open-door policy is followed, ensuring all employees feel heard. Responds with sensitivity and appropriate sense of urgency to their needs. This includes any inquires from candidates or outside agencies, newly hired employees or current employees who request HR assistance.
- Assists HR Partners with on-boarding enrollment meetings including meeting room set up, meeting logistics and any follow up as requested.
- Advances the city's quality initiative through training and communications as well as promotes quality to outside organizations as required.
- Researches and interprets new laws and external best practices for development and training of new procedures related to employee on-boarding.
- Maintains open and effective communication with all levels of employees.
- Other duties and projects as assigned by the Assistant Human Resources Director.
Typical Qualifications
Bachelor's Degree in Human Resource Management or related curriculum. Minimum of three years (3) of experience in related field including recruiting support/coordination, Human Resource department support, candidate screening, interview scheduling, handling confidential and sensitive information etc. An equivalent combination of experience and training will be considered in lieu of education requirement.
The ideal candidate will have prior experience supporting an HR department and will have basic knowledge of employment law and human resources practices.
