School Secretary

Job Summary

SCHOOL SECRETARY

QUALIFICATIONS:
  1. High school diploma with secretarial, clerical, and/or office management training skills preferred.
  2. Ability to communicate (oral and written) fluently in Spanish is a plus.
  3. Must meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
  4. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
  5. Ability to greet and deal with visitors, especially those who arrive in an agitated state.
  6. Ability to react quickly and calmly in placing and receiving calls of an emergency nature.

SUPERVISED BY: Principal

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
  1. Skills in office organization, time management, and problem solving.
  2. Knowledge of the procedures, practices and operations of a public school.
  3. Ability to use excellent business English, grammar, spelling and punctuation.
  4. Skill and accuracy in operating computer hardware and software for word processing, email data entry, newsletters, calendars, and record keeping.
  5. Ability to communicate clearly and concisely, both orally and in writing, including clear, polite telephone communication skills.
  6. Ability to work effectively under minimal supervision and to follow instructions.
  7. Ability to exercise tact, good judgment, confidentiality and initiative in dealing with students, faculty and the public.
  8. Be capable of moving and lifting moderately heavy weights.
  9. Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment.
  10. Ability to deal well with others.
JOB GOAL:

To ensure the smooth operation of the school's office through application of secretarial and clerical duties.

PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:
  1. Provides secretarial services for the principal and other school employees as directed.
  2. Maintains student records, initiates new records for incoming students.
  3. Provides routine management of the school office.
  4. Monitors as directed office safety equipment, visitors, or incoming messages in the implementation of the school safety plan.
  5. Publishes communication/bulletin/email notices for teachers and students.
  6. Attends and participates as directed in trainings, meetings, seminars, and job-related conferences.
  7. Assists with the preparation of meeting materials, agendas, committee records, or school plans.
  8. Assists with composing and forwarding letters.
  9. Assumes general receptionist duties such as answering the telephone and greeting school visitors.
  10. Makes necessary computerized reports related to student enrollment, attendance, discipline, grade reporting, inventory or other administrative or system needs.
  11. Maintains confidentiality regarding school/workplace matters.
  12. Models and maintains high ethical standards.
  13. Demonstrates initiative in the performance of assigned responsibilities.
  14. Keeps the supervisor informed of potential problems or unusual events.
  15. Responds to inquiries and concerns in a timely manner.
  16. Serves on school/system committees as required or appropriate.
  17. Exhibits interpersonal skills to work as an effective team member.
  18. Demonstrates support for the school system and its goals and priorities.
  19. Assumes limited bookkeeping duties in the absence of the bookkeeper.
  20. Performs various related office duties as assigned.
  21. Follows attendance, punctuality and proper dress rules.

TERMS OF EMPLOYMENT

202-day contract (10-month) salary determined by the Board's salary schedule.


EVALUATION:

Performance of this job will be evaluated semi-annually in accordance with the Board's policy on evaluation of classified personnel.
