Purpose of the Position The Payroll Coordinator reports to the Human Resources Director at UMN Morris and manages payroll entry, payroll confirmation, and time and absence activity for non‑student employees at the Morris Campus. In addition, the position supports the talent acquisition process for all employment groups at UMN Morris. The role also handles Finance Office duties such as reporting, payroll account string review and corrections, sales tax submission, general ledger work, and other projects as assigned. Commitment to confidentiality, sensitivity, and an understanding of diverse backgrounds is required. About the Job Location: Morris, Minnesota. The position is primarily in person, with possible flexibility for remote work. Visa: No H‑1B, Green Card sponsorship, or STEM OPT training program. Job Duties Payroll / HRMS (40%) Maintain data in the Human Resource Management System (HRMS). Create Personnel Action Forms (PAF) for position postings and employment changes and track them to completion. TeamDynamix (TDX) Use completed PAF to request new hires and employment changes via TeamDynamix for entry via UMN Operations Center. Confirm and reconcile requested changes, resolving discrepancies. Payroll Review the bi‑weekly payroll abstract and pre‑payroll confirmation reports. Investigate problems, answer payroll questions, and handle adjustments, overpayments, and employee communications. Time Administrator Answer employee and supervisor questions; assist supervisors in approving hours or providing backup approval. Run reports to identify error corrections. Absence Administrator Address employee and supervisor inquiries about vacation and sick leave; investigate and correct issues. Run reports to confirm approvals and detect errors. Talent Acquisition (20%) Support managers in preparing job descriptions and posting requests. Submit hiring tickets and participate in intake meetings. Monitor hiring process to ensure offer letters, background checks, and I‑9s are completed promptly. On‑boarding Conduct I‑9 employment verifications; maintain accuracy with E‑Verify as required. Provide onboarding orientation for new non‑student employees, reviewing MyU portal, functions, and the university payroll calendar. Human Resources (10%) Provide interpretation and advice on university work rules and bargaining unit agreements. Administer and coordinate employment‑related university programs and projects. Maintain historical files per retention guidelines and resolve related issues. Act as liaison for Morris FMLA and Workers Compensation administration between campus and central operations. Financial Reporting / Analysis and Budget Preparation (30%) Monitor payroll default accounts and correct errors. Assist with review and entry for position and departmental budgeting. Prepare/process budget journal entries and subsequent combo codes. Reconcile General Ledger activity; prepare journal entries as needed. Under Finance Manager direction, review and pay sales tax; submit journal entry for posting. Serve as backup financial approver for campus business expenses. Perform other assigned duties. Qualifications Essential knowledge, skills and abilities Bachelor’s degree or equivalent combination of education and experience (four years). Proficiency with Microsoft Word, Excel, PowerPoint, and Google applications. Preferred knowledge, skills and abilities Experience with payroll and/or human resource management systems. Working knowledge of University of Minnesota policies and procedures. Experience with PeopleSoft Human Resources and Enterprise Financial System. Strong analytical, organizational, and office best‑practice skills. Excellent verbal and written communication skills. Outstanding customer‑service skills. Pay and Benefits Pay Range: $25.72 – $26.75 per hour, depending on education, qualifications, and experience. Time Appointment: 100% appointment.
