Compliance Coordinator

Job Description
POSITION SUMMARY: Under general supervision from the Compliance Manager/Privacy Officer, the Compliance Coordinator will support Northern Valley Indian Health's (NVIH) compliance program by implementing, monitoring, and maintaining compliance activities across the organization. The Compliance Coordinator assists in ensuring adherence to applicable federal and state laws and regulations, including the Health Insurance Portability and Accountability Act (HIPAA), the California Medical Information Act (CMIA), 42 CFR Part 2, and other applicable confidentiality and regulatory requirements. The Compliance Coordinator will provide operational support to the Compliance Manager/Privacy Officer; assist with investigations, reporting, and auditing; and serve as a compliance resource for NVIH staff.

ESSENTIAL JOB FUNCTIONS: The list that follows is not intended as a comprehensive list, but rather to provide a representative summary of the major duties and responsibilities. Incumbent will be required to perform a variety of duties listed, including but not limited to:

• Assist in developing, updating, organizing, and distributing compliance policies and procedures
• Track audit findings, identify potential risks or gaps, and assist in implementing corrective action plans
• Coordinate and track employee compliance training, including annual HIPAA training and Code of Conduct education
• Provide basic guidance to staff on compliance requirements and direct complex questions to the Compliance Manager/Privacy Officer
• Log, track, and assist in investigating compliance incidents, including privacy breaches, patient complaints, and regulatory concerns
• Maintain documentation of incidents and assist in preparation of required reports
• Provide subject-matter support to staff handling release of information requests and subpoenas
• Identify and escalate requests that may lead to claims or actions against NVIH to the Compliance Manager/Privacy Officer
• Monitor changes in applicable laws and regulations and summarize updates for the Privacy Officer and leadership
• Maintain compliance records, including audit logs, training records, incident reports, and Business Associate Agreements (BAAs)
• Contribute to the Compliance Newsletter to keep staff informed about updates and changes
• Work closely with the Privacy Officer to support compliance program documentation, policies, activities, and priorities
• Prepare reports, dashboards, and materials for compliance committee meetings
• Coordinate exclusion screening oversight and audit preparation activities (e.g., Joint Commission, CMS)

Experience and Skills
REQUIRED QUALIFICATIONS: The following knowledge, skills, and abilities are required for an employee to successfully perform their duties.

• High school diploma required; Associates or Bachelors Degree in Healthcare Administration, Health Information Management, or a related field preferred.
• Minimum one (1) year of experience in healthcare compliance, health information management, or a related field.
• Experience with Federally Qualified Health Centers (FQHCs), Indian Health Service (IHS), or grant funded healthcare organizations preferred.
• Knowledge of HIPAA Privacy and Security Rules, 42 CFR Part 2, CMIA, and California Patient Access Law.
• Working knowledge of release of information processes and California laws governing subpoena of documents preferred.
• Working knowledge of Microsoft Office Suite, including the ability to write reports/presentations, manage calendars, and perform basic formulas in Excel
• Familiarity with Electronic Health Record (EHR) systems, preferably eClinicalWorks (eCW).
• Strong attention to detail, organizational skills, and ability to maintain accurate records.
• Analytical thinking skills, including the ability to identify trends and compliance concerns.
• Effective written and verbal communication skills, including public speaking ability when presenting compliance information to staff at all levels.
• Strong interpersonal skills with the ability to work collaboratively across departments.
• Ability to exercise discretion and independent judgment with respect to sensitive and confidential matters.
• Ability to adapt, multitask, and prioritize tasks to meet deadlines in a dynamic environment.
• Must have reliable transportation and engage in regular attendance.
