The recruitment may establish a pool for future Administrative Staff Assistant positions over the next 6 months. Role: Provide administrative, technical, and operational support to the HR team, maintain accurate personnel records, support recruitment, coordinate HR‑led meetings, and manage Laserfiche, PeopleSoft, and NEOGOV data workflows. Hybrid work model (remote and in‑person). Responsibilities Manage daily admin functions for the Human Resources unit: responding to inquiries, drafting correspondence, updating visual management tools, coordinating outreach and recruitment events, processing purchases and invoices, supporting new employee onboarding and orientation. Ensure compliance with records‑management standards; maintain accurate personnel files; leverage Laserfiche to organize and retrieve electronic documents; use NEOGOV to track applicants and generate recruitment metrics. Assist with the implementation and administration of collective bargaining agreements: prepare documentation, track deadlines, support HR staff with contract‑related processes. Support HR in tracking contract‑related actions and ensuring accurate documentation across systems, including maintaining up‑to‑date records in PeopleSoft and storing supporting documents in Laserfiche. Conduct research and analysis for special HR projects; respond to inquiries and provide timely information to employees and leadership. Maintain HR tracking logs, organizational charts, electronic filing systems, and databases ensuring accuracy and accessibility. Create and implement HR‑focused information guides and streamlined information systems that help employees understand required policies, procedures, and available resources. Demonstrate proficiency in computer software applications: Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, SharePoint), Laserfiche, PeopleSoft. Qualifications Administrative experience at an progressively responsible level or equivalent combination of education and experience. Experience with Content Manager (Laserfiche) for confidential, archived, and electronic records. Skilled in project research: web‑based research, data collection and analysis, spreadsheet management. Ability to compile and analyze HR data and trends (turnover, hiring, retention, workforce statistics). Excellent communication skills; ability to work with diverse groups; professional and tactful communication. Self‑guided, proactive, and able to manage multiple competing priorities and produce high‑quality work within tight timeframes while maintaining professionalism under pressure. Proficiency in Microsoft Office Suite and HR systems such as Laserfiche and PeopleSoft. Competencies Customer Focus: building strong customer relationships and delivering customer‑centric solutions. Working Conditions Hybrid model with days in office and remote work. Primary onsite location: King Street Center, 201 S. Jackson, Seattle, WA 98104. Employees must reside in Washington state and within reasonable distance to King County worksite. Laptop provided; home workspace with internet required. 40‑hour work week; FLSA covered; overtime eligible. Not union represented.
