Expense Specialist

Job Opportunity We are seeking an Expense Specialist to join our Firm. This position will be based in our White Plains office (hybrid). During the training period, which could be up to six months, you will be required to be on‑site five days a week. Responsibilities Review expense reports received from firm employees and partners, checking the accuracy of coding for client matters and disbursement codes. Ensure expenditures are in compliance with firm and tax authority guidelines, verifying that appropriate supporting documentation is included. Communicate orally and/or in writing any issues with the person submitting the expense report and adjust expense reports as needed. Demonstrate effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others. Add notations and append imaged documents as needed. Process weekly check/ACH payments and distribution of payments. Process files received from internal and external sources related to firm expenditures, reviewing for accuracy and completeness. Reconcile and correct rejected transactions. Prepare AP sessions if appropriate. Manually enter and post client disbursement batches received from Firm’s domestic and international offices. Adjust time entries as requested. Comply with and understand Firm operation, policies and procedures. Manage Firm resources responsibly. Perform non‑routine assignments and other special projects. Perform other related duties as assigned. Qualifications Knowledge of relevant firm computer software programs (e.g., Chrome River, Aderant, Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems. Thorough knowledge of bookkeeping practices. Demonstrated effective interpersonal and communication skills, both verbally and in writing. Attention to detail. Ability to handle multiple projects and shifting priorities. Ability to handle sensitive matters and maintain confidentiality. Organizational and prioritization skills. Capacity to work well in a demanding and fast‑paced environment, both independently and within a team. Flexibility to adjust hours and work the hours necessary to meet operating and business needs.
