Temporary Patient Support Specialist


Schedule & Availability


This is a temporary position requiring flexibility and availability to work varying shifts based on business needs. Starting August 31st- October 11th.

• Monday-Friday: Availability between 8:00 AM-6:00 PM
• Weekends: Availability between 9:00 AM-6:00 PM
• Weekend availability is required
• Occasional evening and holiday hours may be required.

Position Summary


The Patient Support Specialist provides a variety of patient support and administrative services within a healthcare office environment. This position serves as a primary point of contact for incoming patient calls and electronic communications, assists with insurance eligibility and benefits verification, supports patient registration, and performs general business office duties.


The ideal candidate will have excellent customer service and communication skills, strong attention to detail, accuracy, adaptability, and the ability to manage multiple priorities in a fast-paced environment. This position requires professionalism, confidentiality, teamwork, and the ability to remain calm and organized while handling frequent interruptions.

Essential Duties and Responsibilities

Patient Communications & Telephone Reception

• Serve as a primary point of contact for incoming patient calls and electronic communications.
• Provide professional, courteous, and helpful customer service.
• Answer and route incoming calls using a multi-line telephone system.
• Direct calls to the appropriate department or individual.
• Screen calls and ask appropriate questions to determine patient needs.
• Accurately document phone messages and route information to the appropriate staff.
• Monitor and respond to patient text messages in a timely manner.
• Monitor and respond to electronic and social media messages as needed.
• Send appointment reminder texts and/or make reminder calls.
• Schedule and reschedule designated appointments.

Insurance Eligibility & Benefits Verification

• Monitor insurance verification requests.
• Verify and enter insurance and guarantor information.
• Review benefits and eligibility information for accuracy.
• Check patient accounts for balances and notes.
• Complete eligibility verification prior to appointments.
• Communicate verification results to appropriate staff.
• Respond to patient questions regarding insurance verification when needed.
• Complete outstanding or unsuccessful verification requests.
• Assist with membership-related services, including updating visits and payment information.

Patient Registration

• Accurately review and enter patient registration information.
• Ensure patient registration information is complete and up to date.
• Assist reception staff and patients with registration questions.
• Complete registrations within established timelines.
• Conduct patient follow-up calls and texts according to established procedures.
• Properly document patient responses and concerns.
• Route patient questions or concerns to the appropriate clinical or administrative staff.

Business Office Support

• Process medical records requests.
• Prepare and mail patient statements.
• Apply cash payments to patient accounts.
• Complete small-balance account adjustments as directed.
• Prepare accounts payable checks for mailing.
• Process and distribute incoming mail.
• Forward incoming faxes to appropriate staff.
• Assist with fee schedule updates.
• Perform other administrative duties as assigned.

General Responsibilities

Qualifications

Education

• High school diploma or equivalent required.

Experience

• Previous experience in a medical office, clinic, healthcare, customer service, or administrative setting preferred.
• Experience answering phones and working with multi-line telephone systems preferred.
• Experience greeting customers or patients and providing information by phone or in person preferred.
• Experience working with health insurance plans preferred.
• Experience using electronic health records (EHR) systems preferred.

Knowledge

• Basic understanding of health insurance and medical coverage preferred.
• Basic knowledge of medical terminology preferred.
• Understanding of confidentiality and HIPAA requirements.
