Senior Payroll Specialist

LHH is partnering with a large, mission-driven non-profit organization serving the Bay Area community to hire a Senior Payroll Specialist . This is an excellent opportunity for a payroll professional who thrives in a complex, multi-department environment and brings hands-on ADP experience .

Responsibilities:

• Process full-cycle payroll for a workforce of 200+ employees, ensuring accuracy, timeliness, and compliance
• Manage payroll across multiple departments and cost centers , each with unique GL codes, pay structures, and work rules
• Review, audit, and validate payroll data prior to each payroll run to ensure completeness and accuracy
• Ensure all payroll changes (new hires, terminations, pay adjustments, deductions, retro pay, etc.) are accurately processed in ADP
• Administer and support integrated time and attendance systems , ensuring accurate tracking of hours worked, PTO, and exceptions
• Partner closely with HR and department leaders to resolve timecard discrepancies and ensure policy compliance
• Monitor and troubleshoot timekeeping issues, providing guidance and support to managers and employees
• Serve as a key system user for ADP and timekeeping platforms , helping optimize processes and workflows
• Ensure payroll compliance with federal, state, and local regulations (California experience strongly preferred)
• Maintain strict confidentiality of sensitive payroll and compensation data
• Support internal and external audits by preparing documentation and responding to payroll-related inquiries
• Maintain organized and compliant payroll records in accordance with retention requirements

Qualifications:

• Proven experience processing payroll for 400+ employees , ideally in a mid-to-large organization
• Hands-on experience with ADP payroll systems (Workforce Now or similar strongly preferred)
• Experience working with integrated payroll + time & attendance systems
• Strong Excel skills, with the ability to analyze data, rebuild reports, and troubleshoot discrepancies
• Demonstrated ability to work independently, manage deadlines, and maintain exceptional attention to detail
• Experience supporting payroll in a complex, multi-entity or multi-department environment
