Marketing Assistant

Brief Description Wallace Design Collective is seeking a motivated and detail-driven Marketing Assistant to join our Tulsa office. This is an exciting opportunity for an early-career marketing professional to build upon foundational skills while gaining hands‑on experience across a wide range of marketing efforts. Responsibilities Ensure consistency and accuracy in application of corporate brand standards across all materials. Contribute to development and maintenance of marketing collateral, including client‑facing brochures and leave‑behind materials. Assist in production and closeout of SOQs/proposals; prepare materials for digital and/or print reproduction and ensure on‑time delivery. Gather content from team members and consultants to support marketing efforts. Contribute to CRM maintenance and data entry related to clients, prospects, and consultants. Contribute to Project Data Library maintenance, including project descriptions, team information, costs and quotes. Assist in maintenance of company procurement registrations. Assist in maintenance of company photo library. Contribute to coordination of open houses, special events, and conference trade shows. Coordinate and capture photo and video content at internal and external events for use across marketing and business development channels. Support the firm’s brand presence by serving as a social ambassador, helping highlight key moments, people, and projects. Coordinate celebratory gifts and personalized client communications. Assist with marketing administrative tasks. Monitor and maintain online and print sources, including newspapers, trade journals and periodicals. Contribute to tracking professional industry organizations, community events and media opportunities. Track media kits, press release opportunities and key deadlines. Coordinate awards competition entries; ensure compliance with submission requirements. Maintain inventory and organization of marketing materials and conference swag; coordinate ordering and restocking as needed. Coordinate with Talent Recruitment on swag needs. Communicate and collaborate with marketing/BD and technical professionals across One Wallace. Skill Sets Understanding of basic marketing/BD principles. Knowledge of business, CRM and graphic design software (Adobe Creative Cloud). Understanding of database concepts. Excellent organizational skills and multitasking. High attention to detail and quality of work. Ability to collaborate and work well with various personalities and work styles. Excellent time‑management skills. Ability to manage deadlines in a fast‑paced, deadline‑driven environment. Basic understanding of layout and visual communication principles. Knowledge of SOQ/proposal production, including digital and print/binding. Passion for professional development and community‑focused organizations. Qualifications 1–3 years of professional experience, ideally within an architecture, engineering, or construction (AEC) firm. Bachelor’s degree in Marketing, Communications, Business Administration or a related field. Understanding of Adobe Creative Cloud. Comfort and familiarity with Apple/Mac hardware is preferred. Exceptional soft skills, a detail‑oriented mindset and a proactive approach to project management.
