Operations Support Specialist II

Job Overview The Operations Support Specialist II provides a wide range of operational support activities for the regional and local office organization within Pike Engineering. This role supports client interaction, time and expense processing, invoice preparation, and ensures day-to-day office operations are organized and functional. Key Responsibilities Support time and expense entry to meet corporate deadlines. Review time and expense reports for accuracy and completeness; run and review summary reports for management approval. Prepare client invoices with all required supporting documentation. Maintain records, files, and databases of projects and operational data; develop reports, charts, and graphs as required. Coordinate materials for meetings, training sessions, and other organizational activities. Respond to customer inquiries and serve as liaison between the company and clients. Support accounts receivable and accounts payable processes. Assist local management with landlord matters, including invoice review, facility service requests, and emergency evacuation plans. Research products and services as required for the office. Organize and maintain materials for the local reference library. Handle travel arrangements as required. Perform other duties as assigned by management. Qualifications High school diploma or GED; associate’s degree preferred. 1–3 years of experience in an Operations Support Specialist I role or a similar position. Proficient use of Microsoft Office (PowerPoint, Access, Adobe Acrobat). Strong written and verbal communication skills. Ability to read and interpret documents such as procedure manuals and operational procedures. Ability to write reports, business correspondence, and procedure manuals. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or the business community. Ability to solve practical problems and handle a variety of concrete variables with limited standardization. Additional Skills and Abilities Excellent organizational and planning skills. Strong interpersonal skills and ability to work independently. High energy level with the ability to work in a fast-paced, ambiguous environment. Professional appearance maintained at all times. Team-oriented and customer-oriented; able to manage multiple tasks and provide leadership to other team members. On-the-Job Training Significant time is spent in on-the-job training during the first 3–6 months in the role. Physical Demands Physical demands are representative of those required for this role.
