About the Position

Horne Mazda Tempe is looking for an Internal Service Advisor to join our service department. This position is ideal for someone with previous automotive or dealership experience who understands vehicle repair, service operations, and the importance of keeping vehicles moving efficiently through the shop.

The Internal Service Advisor works closely with the Service Department, Technicians, Parts Department, Used Car and Sales Teams, and outside vendors to coordinate repairs and reconditioning on dealership-owned vehicles.

This is a fast-paced position that requires strong organization, communication, follow-up, and automotive knowledge. The ideal candidate understands how a dealership service department operates and can effectively track vehicles from the time an internal repair order is opened through completion.

Automotive Experience Required

Previous automotive industry experience is required. Dealership experience is strongly preferred.

Candidates should have a working understanding of automotive repair and service operations, including repair orders, technician workflow, parts, vehicle inspections, reconditioning, and general dealership processes.

What You Will Do in This Role

• Opens and manages internal repair orders (ROs) for dealership-owned vehicles.
• Coordinates used-car reconditioning after vehicles are acquired or traded in, including inspections, mechanical repairs, tires, brakes, detailing, recalls, and other necessary work.
• Handles new-car preparation/PDI and other internal work when applicable.
• Communicates with Used Car Managers and Sales Managers regarding vehicle needs, priorities, and estimated completion times.
• Dispatches and coordinates work with technicians and monitors vehicles throughout the service process.
• Works closely with the Parts Department to ensure necessary parts are ordered, received, and available when needed.
• Tracks reconditioning costs and obtains appropriate authorization when repairs exceed established limits.
• Ensures internal ROs are properly written, coded, documented, updated, and closed.
• Prioritizes vehicles so sold units and frontline inventory are completed as efficiently as possible.
• Tracks aging vehicles and identifies what may be holding them up, including parts availability, technician availability, approvals, outside vendors, detailing, body work, or other repairs.
• Coordinates outside vendors when needed, including glass, paint/body, upholstery, PDR, wheels, tint, and other sublet repairs .
• Keeps management updated on vehicle status and estimated completion times .
• Helps monitor and control cost per RO and cost per vehicle .
• Helps ensure vehicles meet the dealership's safety, quality, and reconditioning standards before completion.
• Follows up consistently on open repair orders and outstanding work.
• Maintains accurate records and communicates changes in vehicle status to the appropriate dealership departments.
• Helps keep the service department and dealership inventory moving efficiently.

What We're Looking For

The ideal candidate will have:

• Previous automotive experience - REQUIRED
• Previous dealership experience - strongly preferred
• Knowledge of automotive repair and service operations
• Understanding of internal repair orders and dealership workflow
• Experience working with technicians and/or service departments
• Ability to communicate effectively with Service, Parts, Sales, and Used Car departments
• Strong organizational and time-management skills

• Schedule will rotate weekly
