The Bemidji Area Indian Health Service (Client) is a regional division of the federal Indian Health Service responsible for delivering and supporting healthcare services to American Indian and Alaska Native populations across the Upper Midwest. The Bemidji Area serves 34 federally recognized tribes and multiple urban Indian health programs across Minnesota, Wisconsin, Michigan, Illinois, and Indiana. Healthcare delivery in the region is a mix of Federal Client facilities (direct service), Tribal health systems (638 contracts/compacts), and Urban Indian health programs. The mission of Bemidji Client aligns with the broader Client goal of improving the physical, mental, social, and spiritual health of Native populations through partnership with tribal communities.

The Administrative Support assistant should be capable of performing general administrative office duties; ensure personnel conduct themselves in a professional manner; comply with all applicable federal, departmental, and agency policies and procedures; and maintain the confidentiality of sensitive and personally identifiable information.

Specific Tasks

• Provide general clerical and administrative support.
• Answer and route incoming telephone calls.
• Receive, sort, and distribute incoming mail and correspondence.
• Prepare correspondence, memoranda, reports, and other documents.
• Maintain electronic and paper filing systems.
• Schedule meetings, appointments, and conference rooms.
• Assist with travel documentation and voucher processing.
• Enter and maintain data in office systems and databases.
• Assist with records management in accordance with federal guidelines.
• Provide support for office events, meetings, and training sessions as needed.

Deliverables

• Accurate and timely completion of assigned administrative tasks.
• Properly formatted correspondence and reports.
• Maintained filing systems (electronic and paper).
• Updated data entries and tracking logs as required.

Requirements:

• 3-5 years of experience as an administrative assistant.
• Associate or Bachelor's Degree.
• Excellent MS Word/Excel/Office software skills.
• Typing +45 wpm.
• Professional phone presence.
