HR Administrator

The HR Administrator provides essential support across all human resources functions, serving as a primary point of contact for employee inquiries and ensuring the smooth administration of HR programs, policies, and compliance requirements. This role is integral to maintaining accurate workforce records and supporting day-to-day HR operations in a fast-paced contracting environment.

Key Responsibilities
  • Maintain accurate and up-to-date employee files, both physical and digital
  • Process new hire documentation, terminations, and status changes in the HRIS
  • Ensure personnel records comply with applicable federal, state, and local regulations
  • Prepare employment verifications and respond to related inquiries
  • Post open positions on job boards and company website
  • Screen resumes and coordinate interview scheduling with hiring managers
  • Manage background check and pre-employment screening processes
  • Facilitate new hire onboarding, including orientation and benefits enrollment
  • Serve as a point of contact for employee benefits questions (health, dental, vision, 401(k), etc.)
  • Coordinate open enrollment communications and process elections
  • Liaise with benefit carriers and brokers to resolve coverage issues
  • Track and administer FMLA, ADA accommodations, and other leave programs
  • Collect and verify timesheets; coordinate with payroll to resolve discrepancies
  • Process payroll changes including pay adjustments, direct deposit updates, and garnishments
  • Maintain records related to overtime, prevailing wage, and certified payroll where applicable
  • Assist with workers' compensation claims administration and recordkeeping (OSHA 300 log)
  • Maintain compliance with I-9/E-Verify requirements
  • Distribute and track receipt of company policies and required notices
  • Support EEO reporting and maintain required postings at all job sites
  • Respond to employee inquiries regarding policies, procedures, and HR programs
  • Assist with employee relations matters by documenting issues and escalating appropriately
  • Support HR projects including engagement surveys, performance review cycles, and training coordination
  • Maintain confidentiality of all HR and employee information
Qualifications

Required

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field, OR equivalent work experience
  • 2+ years of HR administrative or coordinator experience
  • Proficiency with HRIS platforms and Microsoft Office Suite (Word, Excel, Outlook)
  • Strong attention to detail and organizational skills
  • Ability to handle sensitive information with discretion

Preferred

  • Experience in construction, contracting, or a field-based workforce environment
  • Familiarity with prevailing wage, certified payroll, or multi-state employment laws
  • SHRM-CP, PHR, or related HR certification
Working Conditions
  • Standard office environment with occasional visits to field/job sites
  • May require extended hours during peak recruiting or open enrollment periods

Must be able to sit for extended periods and operate standard office equipment
