Position Description The Student Services Coordinator supports and assists in the operation of the School of Law Student Services departments. This position is the first point of contact for students and prospective students in person, by telephone, and through email, responding to informational inquiries. The Coordinator evaluates and responds directly to inquiries or refers them to the appropriate person for resolution. This position reports to the Director of Student Financial Services. Reception and Coordination Serve as the initial contact for welcoming, assisting, and corresponding with prospective students, current students, colleagues, and community members in person, by telephone, or by email regarding informational inquiries, student services information, and other general questions. Evaluate and respond directly to inquiries or refer them to the appropriate person for resolution. Refer individuals to other departments or arrange appointments with a counselor when further information or resolution is needed. Data Entry and Office Management Input data and documents into the institutional information system (Colleague software). Maintain appointment schedules and calendars. Process mail and documents. Work with work-study students at the front desk and coordinate daily work tasks. Work with colleagues in other departments as necessary. Work flexible hours as needed, including days when the office is open later in the evening while classes are in session. Student Financial Services Assist students in completing the financial aid process and troubleshoot issues. Prepare and provide counselors with applications and files for financial aid evaluation. Prepare Loan Repayment Assistance Program (LRAP) files and contact applicants regarding missing or additional required documents. Work-Study Coordination Direct student workers in processing student work-study time sheets and required documents for Federal, State, and Institutional programs; communicate with students, employers, and payroll regarding questions or issues with a program or an individual student worker. Conduct individual tutorials, as needed, for institutional and federal work-study web time-hours entry; advise on timelines and Seattle University student employment policies. Direct employers to FERPA regulations and web-time tutorials, and troubleshoot web-time issues. Loan History Information for Graduating Classes Complete loan history information for students in each graduating class. Compile loan information to calculate average loan debt for federal requirements and law-related reporting. Send loan exit information to students who are graduating or no longer attending the institution. Business Office Accept student payments and release refund checks to students. Administer student processes for lockers, refrigerator keys, and print accounts. Manage email accounts and communications. Registrar Assist with exam administration. Process transcript requests. Respond to requests for verification of enrollment or graduation. Other duties as assigned. This role will be in the office Monday through Friday. Minimum Qualifications High school diploma or equivalent (GED) plus two or more years of progressively responsible office support experience, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job. Document processing and spreadsheet experience; proficiency with the Microsoft Office suite is required. Ability to analyze and interpret data. Exceptional attention to detail, accuracy, and organizational skills, with the ability to manage time and tasks according to schedule requirements. Ability to comprehend and interpret University policies and procedures. Excellent communication skills, with equal comfort greeting and connecting with students with a positive student-centered attitude in person, by telephone, or by email. Ability to work as a team player, multitask, meet deadlines in a busy work environment, and demonstrate strong problem-solving skills. Ability to maintain student confidentiality in an educational environment. Preferred Qualifications Associate or bachelor's degree. Experience working in an education, legal, or recruiting setting.
