Roles and Responsibilities

The duties for this position shall include but not be limited to:

Personnel 

• Recruiting and Hiring
  • Notifies supervisor of hiring needs/requests authorization to hire
  • Uses statistics and departmental goals to determine staffing levels
  • Writes and places help wanted ads 
  • Conducts telephone screening of applicants 
  • Conducts first interview with applicants 
  • Conducts second interview with applicants and includes superior if necessary 
  • Makes sure to put a priority on recruiting when understaffed 
  • Uses proactive methods of recruiting before the need to react arises
  • Applies EEOC law when making selection 
  • Follows up on applicants’ former employers and references 

• Orientation of New Employees
  • Forwards application, W-4, payroll info, etc. to appropriate office personnel 
  • Follows an “Orientation Checklist” to acclimate new hires to the company, team, and their major responsibilities
  • Monitors performance of new team members closely during the 90 day probationary period 
  • Provides assistance and training on areas needing improvement, if performance issues persist provides clarity of expectations through a signed action plan document that clearly outlines specific improvement targets 
  • Completes a performance evaluation on new hires at end of training period 
  • Informs employee of any eligibility for benefits, etc., during training period 

• Personnel Files/Benefits
  • Disseminates information regarding company benefits to staff
  • Thoroughly documents all disciplinary action or improvement action plan conversations on official company paperwork and provides the signed documents to the appropriate individuals 
  • Promptly sends information to be included in personnel files to the appropriate individuals
  • Handles employee discounts according to company policy 

• Scheduling/Payroll
  • Controls payroll budget, stays within guidelines 
  • Schedules staff efficiently and ensures that all team members are in roles that match their unique strengths and are consistently efficiently producing results
  • Grants/denies scheduling requests in best interest of department
  • Ensures all staff clock in/out as required, does spot checks on time sheets 
  • Turns in all pay documents in a timely manner 
  • Ensures that staffing levels are adequate to complete all daily critical tasks
  • Ensures all profit shares are reported correctly 

• Liaison Between Warehouse Staff and Supervisor
  • Acknowledges receiving and understanding of memos from the General Manager/Owner
  • Communicates policy/procedural changes through department meetings and updates to SOP documents 
  • Keeps General Manager informed of all personnel issues/concerns

• Staff Enhancement, Coaching and Development
  • Closely monitors performance of every team members execution of their major responsibilities
  • Has private meetings with each team member to review and coach as needed 
  • Coaches team members on the warehouse floor routinely 
  • Keeps accurate and objective coaching records 
  • Follows progressive discipline/corrective action steps when necessary
  • Uses positive reinforcement to encourage continued improvement 
  • Sets targets for team members when necessary and follows up on progress 
  • Conducts meetings on a regular basis to ensure team leaders are well informed and working together to achieve our common goals
  • Maintains the warehouse department Scorecard and updates required goals on the leadership team scorecard
  • Runs the department utilizing all EOS tools and processes 
  • Ensures that policy and procedure violations are not chronic.
  • Provides recommendations for promotions when senior positions are vacant

• Corrective Action and Termination
  • Complies with government regulations regarding discrimination 
  • Understands the company’s termination policy 
  • Documents corrective action on appropriate forms and obtains appropriate signatures 
  • Executes disciplinary procedures fairly and correctly 

• Temporary worker management
  • Ensures that all temporary workers are adhering to policies
  • Communicates with management at the temp agency to address any issues
  • Monitors temp workers timesheets
  • Provides training to temp workers 
  • Coordinates temp worker assignments in the warehouse
  • Provides recommendations to end assignments for temp workers that are not up to our standards
  • Provides recommendations to hire temp workers that are achieving standards
• Relationships with co manager, supervisors, staff
  • Develops a positive working relationship with the co manager, all warehouse supervisors, and all staff members

Inventory Control

• Learns the companies inventory management software
• Manages inventory transfers between locations accurately
• Learns the warehouse bin layout and delegates inventory organization to the appropriate parties 
• Ensures cycle counts occur according to the schedule
• Ensures periodic full inventory counts occur
• Ensures urgent count requests are processed in a timely manner
• Ensures inventory adjustments are accurate

Forklift

• Receives certification to operate a sit down forklift
• Safely operates a sit down forklift to transfer pallets to and from offsite storage

Stacker

• Safely operates an electric pallet stacker to load and unload pallets from pallet racking 

Receiving

• Coordinates with Receiving team to ensure inbound freight is accurately counted, matched to invoices, checked in to inventory system, and stowed in proper locations

Daily order printing

• Learns the companies shipping software
• Learns and understands the daily order printing process 
• Prints shipping labels following daily printing SOP
  • Ensures orders are sorted to the appropriate team
  • Ensures orders have packing slips when required
  • Ensures orders ship with correct carrier and are billed for the correct size and weight
  • Ensures orders are sorted by SKU or Bin location for appropriate tables
  • Ensures all order tracking has properly uploaded to each sales channel 
  • Ensures that all orders requiring shipment by each business day are shipped on time

Production Planning

• Collaborates with office leadership to achieve pre season production goals and weekly FBA shipment goals
• Ensures that stock levels will meet demand for merchant fulfilled orders and future FBA shipments to prevent backorders and FBA shipping delays
• Ensures that the warehouse team has a consistent flow of FBA shipment work orders to achieve their production goals and satisfy customer demand 
• Increases efficiency of warehouse team by optimizing the FBA shipping workflow 

Daily Order Fulfillment

• Learns the process for daily order fulfillment at each table to be able to cover leader absences as needed and direct improvement

Product Ordering

• Uses reports from our inventory software and the office team to ensure critical products are consistently ordered to:
  • Ensure adequate stock levels to prevent out of stock/backorders/production delays
  • Ensure products are not ordered in quantities that would cause overstock or aged inventory 

Warehouse Inventory Location Management 

• Collaborates with office leadership to ensure proper record keeping of bin location transfers
• Collaborates with the receiving manager to ensure one copy of every new part is provided to the sales team for photographing
• Collaborates with the receiving manager to ensure proper record keeping of new part number bin locations
• Ensures that all new bin locations and bin transfers are properly entered into inventory management software

Compensation and Benefits:
Pay: Starting at: $40,000 per year with a monthly profit share bonus (Expected total annual compensation between $48,000 and $60,000 with great long term compensation growth potential )
Profit Share: Team members become eligible for profit share after 30 days of employment. This is paid as a monthly bonus as a percentage of net profit.
Schedule: Monday to Thursday 7AM-4PM and Friday 9AM-4PM
