Office Operations & Front Desk Specialist

The Office Operations & Front Desk Specialist serves as the first point of contact for candidates, employees, and visitors while supporting the day-to-day operations of the office. This role is responsible for creating a welcoming experience, providing administrative and compliance support, coordinating onboarding activities, maintaining office organization, and ensuring a professional workplace environment. Key Responsibilities

• Greet and assist candidates, visitors, and employees in a professional and friendly manner.
• Coordinate interview check-ins, onboarding activities, and candidate materials.
• Provide administrative support to recruiters, leadership, and internal staff.
• Assist with employee onboarding, compliance tracking, credential maintenance, and related documentation.
• Maintain accurate records and ensure compliance information is current and organized.
• Support meeting and conference room setup, office events, and employee celebrations.
• Monitor, order, and restock office, kitchen, and onboarding supplies while following budget and approval guidelines.
• Maintain a clean, organized, and professional office environment, including common areas, meeting spaces, and reception areas.
• Assemble and maintain recruiting and marketing materials, including candidate welcome baskets and promotional items.
• Assist with special projects and other operational duties as assigned.

Qualifications

• High school diploma required; associate degree preferred.
• Previous experience in office administration, reception, customer service, healthcare staffing, or a related field preferred.
• Strong organizational skills and attention to detail.
• Excellent communication and interpersonal skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and Teams).
• Ability to work independently while collaborating effectively with a team.
