We are looking for a dependable and organized Administrative & Referral Assistant to join our team. This role plays a vital part in ensuring our clinic runs smoothly by managing incoming calls, scheduling appointments, and handling referral and document workflows with accuracy and care.

The ideal candidate is detail-oriented, professional, and enjoys helping patients and families while keeping administrative tasks on track.

Key Responsibilities:

• Document & Referral Management
• Scan, upload, and organize documents into the electronic record system
• Prepare and send referrals to specialists
• Track referral status and follow up as needed
• Administrative Support
• Manage and direct incoming phone calls with professionalism and courtesy
• Schedule, confirm, and update patient appointments
• Greet patients and assist with check-in/check-out processes (as needed)
• Maintain accurate communication records
• Support providers and staff with administrative tasks and correspondence
• Office Coordination
• Assist with data entry, filing, and maintaining organized workspaces
• Communicate effectively with outside offices and patients to ensure continuity of care
• Uphold confidentiality and HIPAA compliance at all times

Qualifications:

• Prior experience in a medical office or administrative setting preferred
• Excellent verbal and written communication skills
• Strong computer proficiency (EclinicalWorks or other EMR experience a plus)
• Reliable, detail-oriented, and able to multitask in a fast-paced environment
• Friendly, professional demeanor with a strong sense of teamwork

Schedule:

Monday–Friday, 8:00 AM – 5:00 PM
