Guest Service Specialist

Job Description Associa is looking for a Guest Service Specialist to join our team. The HOA Guest Services / Front Desk and Rental Manager Assistant acts as the central hub of community and hospitality operations for the RV resort. This role delivers five‑star customer service to residents and guests while supporting the Rental Manager with RV lot booking logistics, property administration, and day‑to‑day resort operations. Employment Type Full Time Compensation $20.00 - $25.00 per hour; depending on experience Location 80394 Ave 48, Indio CA 92201 Essential Duties And Responsibilities Front Desk & Guest Services Operations First Point of Contact: Welcome residents and guests warmly. Answer multi‑line phones, respond to emails, and address in‑person inquiries. Access & Security: Monitor lobby activity, control community access, and issue guest passes, gate transponders, and resident key fobs. Concierge Services: Handle resident parcels sorting and manage incoming mail. Conflict Resolution: De‑escalate complaints professionally and route issues to the appropriate department (e.g., maintenance or HOA management). RV Lot Rental Management Assistance Reservation Administration: Utilize Newbook software to manage short‑term and long‑term RV lot rentals, track availability, and process site changes. Owner & Guest Communications: Coordinate site arrivals, prepare welcome packages, and ensure visitors understand resort rules and lot rental policies. Lot Quality Control: Perform pre‑arrival inspections to verify hookup functionality, site cleanliness, and utility access before guest arrival. Accounting Support: Assist the Rental Manager with collecting deposits, processing rental payments, and preparing month‑end revenue or occupancy reports. HOA Administration Database Management: Keep accurate, up‑to‑date homeowner and renter records in the HOA management software system. Compliance Enforcement: Assist management by answering baseline questions about CC&Rs, bylaws, and community guidelines. Meeting Preparation: Support the management team with copying, mailing, and organizing paperwork for Board of Directors and annual homeowner meetings. Requirements Experience: 1–2 years of relevant experience in hospitality, luxury retail, property management administration, or RV park operations. Technical Skills: High proficiency in Newbook rental software, Microsoft Office Suite (Word, Excel, Outlook), and standard office equipment. Communication: Excellent written and oral communication skills with a polished, professional, and welcoming demeanor. Problem Solving: Ability to remain calm under pressure and resolve customer service issues with diplomacy and tact.
