Job Title: Senior Program Director. Department: Community Living. Reports To: Sr. Vice President of Community Living. Supervises: Program Director(s) and Sr. Program Manager(s). FLSA: Exempt. Summary The Sr. Program Director is a critical team member responsible for ensuring the overall operations and quality of the Community Living Department. The Sr. PD oversees quality assurance of the department's daily operations, program compliance, and fiscal budget. The PD collaborates with other departments within LU to oversee timely completion of Community Living data, processes, and systems; ensures agency policies and procedures and state standards are met; and drives corrections and changes within the department. The role includes supervising Program Directors, Sr. Program Manager(s), managing transitions for new support teams and residential placements, and ensuring each PD’s caseload operates within LU Standard and DMH Compliance. The Sr. Program Director also covers Program Director(s) and Sr. Program Manager(s) caseloads in their absence, works with the Sr. VP of Community Living, and facilitates various departmental and agency-wide meetings. Quality Ensure exceptional quality. Establish and maintain close working relationships with all stakeholders. Ensure that the Community Living Program functions with highest quality standards. Collaborate with Program Directors and Sr. Program Managers to develop action plans focusing on quality and efficiency improvements. Work with the Quality Assurance and Health Team to ensure daily operations meet DMH and LU policies and procedures, including: Review IDT Dashboard and work with teams to ensure positive trends in emergency drills, medical appointments and documentation, MAR documentation, GERs, and other dashboard items. Complete annual audit of Individuals Therapy Records, ensuring data forms updated, releases available, demographics page completed, and contact lists current. Ensure documentation compliance with all applicable laws, rules, and regulations. Conduct quarterly audits: PM Monthly Checklist, PD Quarterly Checklist, and Variance audits. Complete annual ISP’s and Addendums review. Hold quarterly meetings with Program Directors on caseload progress, audit findings, and improvement plans. Perform semi-annual quality checks on each residential location and provide feedback. Report unresolved APTS over 45 days to VP and ensure deficiencies resolved. Growth Lead program growth, expansion, and improved efficiencies. Meet strategic planning goals, objectives, and outcome measures for caseloads. Maintain vacancy rate below 10% and pursue constant expansion. Collaborate with Intake Team, Program Directors, and Sr. Program Managers on site development, roommate matching, and staffing needs to ensure smooth transition to community living services. Complete required PD tasks for intake within established timelines. Work with Recruiting Department to ensure positions for new ISLs are filled before opening. Provide provider oversight and assistance for new individuals moving into existing locations, ensuring satisfaction for all stakeholders. Financial Strength Complete monthly audits of PD caseloads to ensure operation within variances. Ensure each PD caseload operates within approved ISL budgets, staffing patterns, and DMH ratios. Review caseload workforce schedule to ensure all vacant positions posted. Identify and address overtime overages and shift openings. Ensure department attendance is accurately submitted and timely. Complete semi-annual financial audits on all CL individuals' accounts. Meet with Program Directors to resolve audit findings. Support department in payroll approval process. Conduct quarterly fiscal reviews with VP and CPO. Team Builder & Supervision Provide 24-hour on-call support to Program Directors and Sr. Program Managers. Ensure Community Living Program Directors and Sr. Program Managers are adequately staffed, trained, compensated, and supported. Directly supervise assigned PDs and Sr. PMs and ensure job duties completed on time. Work with teams to ensure staff understand roles, accountability, and training requirements. Conduct annual performance reviews for PDs and Sr. PMs. Anticipate staffing needs and collaborate with HR to reduce overtime and turnover. Work with HR and team to ensure hiring processes and policies followed. Communication Foster strong communication within and between programs and organization. Ensure information relayed throughout all levels of programs in a team-building manner. Maintain close working relationships with families/guardians, funders, and referral agencies, soliciting feedback for improvement. Document concerns and create action plans with timely resolution. Communicate updates to stakeholders and Life Unlimited Inc. teams. Interact professionally with all agency staff, external stakeholders, and referral agencies. Maintain open communication with individuals, families/guardians, providers, and regulatory agencies. Participate in leadership and administrative meetings, health and safety meetings, and ad hoc projects. Lead scheduled team meetings to review program issues and training needs. Use computers or mobile devices proficiently for data access and storage. Perform other duties as assigned. Core Competencies Good communication skills, orally and in written form. Physical Expectations This position requires extended periods of walking and standing with some periods of sitting – depending on the needs and activities of the individuals supported. It may require light to heavy lifting and occasional stooping, kneeling, bending, and/or climbing stairs. The position will require occasional physical intervention if confronted by a person displaying combative or potentially dangerous behavior. Working Conditions Office/home environment with noises from appliances, office equipment, and facility/maintenance team. May be exposed to blood-borne pathogens and/or infectious diseases. May be expected to work five days per week in the office. Qualifications Bachelor’s Degree in a Human Service Field preferred. Minimum of five years of management experience, with at least two years working with individuals with developmental disabilities strongly preferred. Must obtain and maintain training and certification in all required areas such as Abuse/Neglect, CPR, First Aid, Level I Medication Administration, Positive Behavior Supports, MANDT and MANDT Advanced Technical Skills. Background in the skills of developmental, implementation, and writing teaching strategies. Must have reliable personal vehicle for transporting clients. Must obtain a Class E driver’s license during new hire orientation – must carry minimum coverage applicable by law for auto insurance. Must receive seasonal flu vaccination.
