Student Services Assistant Substitute Pool

Overview Applications are currently being accepted for Student Services Assistant – Substitute Pool. This is an hourly, as needed substitute position. As a Hispanic-Serving Institution (HSI), our College has a student population of about 22,000. We offer programs and services designed to support student success and equity. Basic Function Under the direction of an administrator or manager, performs specialized project, administrative, and technical responsibilities within a student services area. Representative Duties Provides information and assistance through various modalities to students, staff, and the public related to the area of assignment; advises students of program requirements, eligibility, and/or status. Schedule appointments for students and staff; utilizes software applications to provide program information and assistance; explains department/program policies and procedures. Collaborates with internal District and college departments to coordinate communications and activities for a wide audience. Creates, updates, and maintains forms, documents, records, files, and filing systems; ensures confidentiality of information per guidelines. Updates department website pages and social media; disseminates information through newsletters, emails, videos, and posts. Plans and facilitates program/department activities including meetings, workshops, trainings, orientations, and special events; creates and distributes advertising or informational materials. Tracks and monitors department budget expenditures; works with vendors to obtain quotes; prepares requisitions, POs, and work orders. Extracts and compiles data; prepares standard reports and correspondence. Responds to information requests from District administration, management, faculty, students, and external agencies related to the area of assignment. Guides and informs students of procedures, requirements, and restrictions; assists with form completion and accuracy checks. Reviews and processes applications and forms; verifies records; requests transcripts; registers students and updates records; generates reports as needed. Meet with students one-on-one to assist with requirements related to special programs; engages in outreach efforts. Operates computers and related equipment; uses various programs and software to perform essential duties. Trains and provides work direction to student assistants and temporary staff; may participate in the hiring process. May transport students to special events in a college-issued vehicle, as needed. Performs related duties that support the overall objective of the position. Knowledge and Abilities Knowledge of: District and college policies, procedures, and regulations related to the area of assignment. California Education Code and Title V as it relates to the area of assignment. FERPA and privacy considerations. Budget, purchasing documents, and records management for the department. Applicable laws, codes, regulations, and procedures related to the area of assignment. Programs, processes, and resources on and off campus related to the area of assignment. Admissions, programs, and services related to the area of assignment. Grants and special funding sources related to District-wide and college programs. Office administrative practices and procedures; sound business communication; and recordkeeping. Microsoft Office Suite and basic computer software, databases, and ERP systems. Ability to: Independently perform essential responsibilities under general guidance. Read, understand, interpret, and apply policies and procedures; explain and implement them. Learn and apply emerging technologies; work efficiently with students with special needs. Provide student support and direction to available resources. Prepare clear correspondence and documents from limited instructions; follow written and oral instructions. Demonstrate presentation and public speaking skills; plan, organize, and prioritize workload. Prepare accurate records and reports; maintain confidentiality and handle sensitive information. Coordinate and schedule special events, meetings, and workshops; use appropriate technology resources for communication. Operate typical office equipment; perform administrative duties with interruptions. Establish and maintain professional relationships; promote diversity and inclusion in interactions with students and staff. Communicate effectively in person and through various channels; work with diverse student communities to create safe spaces. Education and Experience Associate degree with college coursework in a related discipline; AND two (2) years of administrative experience related to the area of assignment. Experience involving students and outreach in an educational environment. Or any combination of education and experience that provides the required qualifications. Note: Any degree from a country other than the United States must be evaluated by an Evaluation Service prior to the closing date, with transcripts attached. License Certificates/Credentials Possession of, or ability to obtain, a valid driver license. Insurable driving record for positions requiring transportation of students or use of a District/college vehicle. May be required to travel for off-site meetings, trainings, or events as part of the position.
