Hours per Pay Period: 1.00 = 80 hours every two weeks (Non-Exempt)

Starting Wage DOE: $20.66 - $25.83

Under general supervision, the incumbent in this position provides administrative, clerical and technical support within the benefits area.

Essential Job Functions

• Supports and models behaviors consistent with Billings Clinic’s mission, vision, values, code of business conduct and service expectations. Meets all mandatory organizational and departmental requirements. Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.

• Provides administrative and technical support for the benefits team.

• Processes Leave of Absences including completion of notification letters, decision making based on certification, corresponding with employees and managers and coding information into timekeeping system to ensure accurate and timely payment of employees on Leave.

• Enters employee information into the HR and Payroll information systems and performs necessary verifications, edits and audits to ensure accuracy. Runs various reports for Leave of Absence and Benefits related needs.

• Provides assistance and support for other benefit and compensation related projects including annual benefit enrollment, data entry, data verification, assembly of packets, copying, assistance with reconciliation of billing information from carriers/vendors, department filing, etc.

• Assists in composing and preparing correspondence for distribution. (email, mail, MTS, etc)

• Processes benefit enrollment forms for new employees who are benefit eligible ensuring all forms are accounted for. Enters information into the benefit administration system.

• Reviews and monitors Evidence of Insurability (EOIs) requests on HR system. Provides employee and vendor with EOI information for approval and underwriting purposes.

• Works closely with the Payroll department regarding leave of absences and benefits in determining details related to employee injuries.

• Completes paperwork for dependent benefit verification requests from the State of Montana and other states.

• Interprets internal policies and maintains competency related to appropriate regulatory laws/guidelines. (FMLA, ADA, ACA, etc.)

• Answers designated Benefits and Leave of Absence phone lines. Utilizes digital platforms to manage incoming requests and maintain task organization.

• Provides regular lunch coverage and backup coverage at the HR reception desk, assisting with walk-ins, multi-line phones, and general office support.

• Identifies needs and set goals for own growth and development; meets all mandatory system and departmental requirements.

• Maintains competency in all organizational, departmental and outside agency environmental, employee or patient safety standards relevant to job performance.

• Performs other duties as assigned or needed to meet the needs of the department/organization including assisting HR staff with projects as needed.

• This position is performed on-site.

Minimum Qualifications

Education

• High school graduate or equivalent; prefer 2 years college in related coursework

Experience

• One to two years of progressively more responsible work experience in benefits, compensation and/or Human Resources and or other comparable work environment.

Or an equivalent combination of education and experience relating to the above tasks, knowledge, skills and abilities will be considered
