STATUS: Salary, Full-Time, Exempt

REPORTS TO: Executive Director

LOCATION: Oversees facilities in Stillwater and Hugo, MN

SCHEDULE: On site Monday - Friday, 9:00am-5:00pm with on call duties assigned.

COMPENSATION: $79,000-$81,000

SUMMARY:

The Program Manager is the first point of contact for all Program Staff and their primary responsibility is to ensure the continued smooth operation of the constituent parts of the program as it relates to house operations, program policies and procedures, client control and supervision, compliance activities, as well as accounting for the proper training of staff in regards to their duties at the residences and other applicable sites. They are also the primary point of contact for direct care staff and serve a major functionary of performing payroll and time management functions, compliance activities directly related to Program Operations, and basic Human Resources functions.

QUALIFICATIONS:

  1. Must be 21 years or older to apply for this position.

  2. Successful completion of the ADP Selective Screening Services background check as well as any other state, federal or company required background/record check.

  3. Minimum Education/Experience Requirements: Bachelor's degree in Human Services, Psychology, Sociology, or related field OR High School Diploma/GED with 2+ years of managerial experience in a direct care position or other human related field.

  4. Possess valid driver’s license with ability to be insured by our auto insurance policy which includes, but not limited to, the following requirements: 4 continuous years of driving experience, 21 years of age or older, less than 3 moving violations in the last 3 years, and no more than 1 major violation in the last 3 years.

  5. Physical Requirements: Ability to work on a computer/keyboard, use electronic systems, communicate with others through written and verbal formats, ability to sit, stand, or walk for long periods of time, ability to climb stairs, listening, reading comprehension, lifting up to 20 lbs.

Knowledge, Skills, and Abilities:

  1. Ability to communicate with family members, clients, and other staff members professionally and respectfully.

  2. Ability to operate standard office machines and equipment, including telephones, computers, copy machines, fax machines, calculators, scanners, and shredders.

  3. Ability to be professional and maintain a positive attitude and relationships with coworkers.

  4. Excel at both written and verbal communications to convey essential information; must be able to utilize the proper linguistic syntax and spelling.

  5. Knowledge of clinical and medical terminology as it relates to the delivery of clinical care to the clients within our programs as required by our payers.

  6. Knowledge of the clinical, medical, and miscellaneous services provided to the clients.

  7. Ability to use computer software including Microsoft Office, Adobe Acrobat, and G Suite products.

RESPONSIBILITIES:

The Program Manager will be responsible for all the following, and additional duties may be removed or assigned as needed. These include but are not limited to:

  1. Effectively schedule up to 60 staff on 24 hour shift schedules. Able to adapt to various employees' schedules and arrange for reliable coverage at all times. Work with colleagues to complete schedules for all residential houses.

  2. Proficiently navigate our Time Management system for payroll, approving/denying staff overtime, managing the timecards of supervisees, and minimizing the organizations payroll liability through efficient monitoring

  3. Strong grasp of the fundamentals of the A Mission for Michael Program. Able to execute the mission statement of the organization. Must ensure both client safety and experience are prioritized and executed on a daily basis.

  4. Maintain a high level of professionalism including dress, interpersonal skills, management of staff, boundaries etc. between clients and staff.

  5. Strong skills in conflict resolution between clients, high proficiency in the ability to ACA block, deescalate tense situations, and awareness/sensitivity to clients that are at times actively psychotic. Ensure the delivery of quality group facilitation by the program staff.

  6. Interview, Hire, and train new program staff and orient them towards their required duties, such as ensuring that information in passdown’s and communication from the house are accurate and provide a reliable account of the activities occurring therein. The Program Manager is responsible for ensuring their cohort stays at a full FTE count at all times.

  7. Conduct Safety Surveillance Tours of the houses, monitor the status of each house's Infection Control practices, and conduct regular inspection of the premises at your designated sites using the client experience checklist form.

  8. Manage the logistical needs of your cohort, ensuring all clients get to appointments on time, that drives are scheduled, and act as the primary point of contact between your cohort and the organization as a whole.

  9. Participation and collaboration in leadership meetings among other house cohorts and division quality management related projects. Will provide coverage for colleagues when needed which includes being available in the evenings and/or weekends

  10. Collaborate with the Compliance Department in order to provide them with various documentation and information needed to maintain state Licensure.
