Office Manager / Accounting Coordinator | JTS Architects | Schaumburg, IL
JTS Architects is a growing architecture firm in Schaumburg with 40 years in business and 60–80 active projects across retail, quick-service restaurants, cannabis and more. We're looking for an Office Manager / Accounting Coordinator to keep our billing and our office running smoothly. This is a hands-on role at the center of a small, close-knit team.
What you'll do
- Prepare and send client invoices and manage project billing in QuickBooks Desktop across multiple company entities, each with its own bank account
- Handle accounts payable and receivable, including vendor and consultant payments and past-due follow-up
- Reconcile bank accounts and prepare monthly reports for our outside accountant
- Run payroll in ADP and support onboarding, benefits and PTO tracking
- Track state licensing, architecture board and Secretary of State requirements across multiple states
- Keep the office running: mail, deposits, supplies, filing and supporting the team day to day
- Help with marketing materials and website updates (a plus, not required)
What you bring
- Hands-on QuickBooks experience with billing/invoicing, AP and AR (Desktop preferred)
- Office management or administrative experience in a small business
- Strong Excel, organization and attention to detail
- A friendly, team-first attitude and comfort wearing many hats
- Nice to have: architecture, engineering or construction background; multi-entity accounting; ADP payroll; marketing or design skills
