Executive Support-Nanny (Bilingual -English/Spanish)

Status: Non-Exempt- Full-Time (On-site) Reports to: Executive Support Manager Location: Tampa, FL Company Overview Blackstone Medical Services is dedicated to providing exceptional at-home sleep testing for sleep apnea. We focus on supporting healthcare providers with the necessary resources to ensure high-quality patient care. Key Responsibilities Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives. Prepare and organize materials for meetings, including agendas, presentations, and reports. Draft, proofread, and manage executive correspondence, communications, and documentation. Track action items, follow up on deliverables, and ensure deadlines are met. Assist with research, data collection, and preparation of summaries or briefing documents. Support leadership in managing confidential information with discretion and professionalism. Coordinate cross-departmental communication and serve as a point of contact for executives. Maintain organization of files, records, and office systems for easy retrieval and efficiency. Provide administrative support for strategic initiatives, board meetings, and company events. Handle expense reporting, invoice processing, and other administrative financial tasks as needed. Proactively identify opportunities to improve workflow, efficiency, and executive productivity. Qualifications Associate’s or Bachelor’s degree in business administration, communications, or related field preferred. 3+ years of experience providing administrative or executive support, ideally in a fast‑paced environment. Strong organizational and time management skills with the ability to prioritize multiple tasks. Excellent written and verbal communication skills. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools; experience with project management software is a plus. High level of professionalism, discretion, and confidentiality. Strong problem‑solving skills with the ability to anticipate executive needs. Detail‑oriented and adaptable to changing priorities.
