Responsible for supporting organizational compliance with legal and regulatory requirements in the areas of drug and alcohol testing, pilot records, and background checks. The Supervisor, HR Compliance will assist in the implementation and continuous improvement of the organization’s HR compliance strategy and provide day-to-day leadership and oversight of HR Compliance team members. Essential Functions Support administration of the company’s drug and alcohol, Pilot Records Database (PRD), Security Identification Display Area (SIDA) and Criminal History Records Check (CHRC) programs, ensuring compliance with all applicable regulations. Provide day-to-day guidance, training, and mentoring to members of the HR Compliance team and others within the Human Resources department. Act as the HR Compliance contact for emergency situations, reasonable suspicion calls and Operations support, as scheduled. Assist with performance management activities, including providing performance feedback and addressing employee performance concerns as appropriate. Provide management and employees with information and interpretation of human resource policies, rules, and procedures. Recommend and initiate process improvements and corrective actions to resolve issues and enhance client service. Maintain knowledge of changes in the company, industry, and legal and regulatory environment and communicate relevant updates to leadership. Seek continuous process improvement and enhancements to efficiency in all areas of responsibility. Develop and prepare reports and workforce-related information to assist HR leadership and line organizations with workforce planning. Review and process vendor invoices in a timely manner to ensure prompt payment. Assist with budget monitoring activities and support departmental efforts to achieve budget goals. Serve as a backup Designated Employer Representative (DER) for drug and alcohol-related issues, as assigned. Support audits and information requests from governmental agencies regarding drug and alcohol, PRD, and CHRC programs. Review pilot-applicant drug and alcohol and background records to ensure compliance with company hiring standards and regulatory requirements. Present drug and alcohol and compliance-related training to managers and employees. Attend and participate in related meetings as requested. Assist with vendor management activities to ensure compliance with applicable regulations and service expectations. Support vendor selection and onboarding activities as needed. Compile, analyze, and research information for monthly, quarterly, and annual reports. Escalate compliance concerns, regulatory risks, and program issues to management, as appropriate. Qualifications Bachelor’s Degree in Business, Human Resources, or related field. At least 3 years of experience administering a regulated drug and alcohol program or other compliance-related programs. Experience as a DOT Designated Employer Representative (DER) or similar role preferred. 1 year of experience in a lead, supervisory, or team leadership role preferred. Experience with employment law and employee relations preferred. Airline experience strongly preferred. Knowledge, Skills and Abilities Working knowledge of employment laws and governmental regulations impacting workplace compliance programs. General knowledge of computerized recruitment and onboarding processes. Excellent verbal and written communication skills. Ability to interact effectively with all levels of management and non-management employees and maintain positive business relationships. Highly proficient in Microsoft Office software products including Word, Excel, Copilot and PowerPoint. Experience using Human Resource Information Systems (HRIS). Ability to effectively manage multiple tasks and priorities. Strong organizational skills and attention to detail. Focus on continuous process improvement and operational efficiency. Ability to analyze information, identify trends, and recommend solutions. Occasional after-hours work to support emergency operations, reasonable suspicion calls and Operations support. Supervision Received General Direction: The incumbent normally receives little instruction on day-to-day work and receives general instructions on new assignments.
