Care Coordinator (Medical Receptionist/PSR)

Overview All Star Physical Therapy, a member of the Confluent Health family, is looking for a Full Time Front Desk Medical Receptionist to join our team! At Confluent Health and our family of affiliated brands, Care Coordinators are the heartbeat of the clinic. They are the first voice a patient hears and the first face they see. You set the tone for the entire patient experience: organized, warm, and professional from the very first call through every visit. This is a fast-paced, multi-tasking role where no two days look the same, and where your ability to stay calm, follow through, and take ownership makes a direct impact on patients and the clinical team. Location Menifee, California 92586 Full Time 32 Hours/ Week (M-F 10:30am-6pm) What we offer Health, Dental, and Vision Insurance Paid Time Off Family Building and Parental Leave Benefits 401(k) with employer matching up to 4% Structured onboarding with a 30/60/90-day development plan and ongoing support from clinic leadership Clear growth pathways; many of our front desk team members have advanced into clinic management, operations, and leadership roles A collaborative team culture where no one is left on an island; you'll have access to leadership and a built-in buddy system across clinic locations Responsibilities Create a welcoming, professional first impression for patients, visitors, and referral sources Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation Qualifications You don't need a healthcare background to be great in this role - but you do need to be someone who genuinely enjoys helping people, thrives in a busy environment, and takes ownership of your work. If you've worked in any customer-facing role and want to build a career in healthcare, we want to hear from you. High School Diploma or GED required 1+ year of experience in a customer-facing or patient-facing role, this could include retail, hospitality, call center, medical reception, or any setting where you regularly interacted with the public in person or over the phone Demonstrated ability to manage multiple tasks at once while staying organized and detail-oriented Comfortable and confident communicating on the phone, including handling upset or frustrated callers with patience and professionalism Basic computer proficiency: comfortable learning new systems, navigating scheduling software, sending emails, and working in spreadsheets No prior medical experience required - we provide comprehensive training including EMR navigation, insurance fundamentals, scheduling workflows, and phone etiquette About Confluent Health, LLC and its affiliates are equal opportunity employers committed to building a diverse and inclusive workforce.
